Department Assistant - Academic Advising (Part Time)

GENERAL JOB SUMMARY: 

Under moderate to limited supervision, provides department support, manages department processes, and ensures smooth running of the office. The typical hours for this position will be between Monday through Friday from 8 am to 5 pm.

DUTIES/RESPONSIBILITIES:

  • Answer and/or re-direct inquiries from internal and external customers either via phone calls, email, or in person.
  • Coordinate materials for mailings, maintain department records, generate reports, schedule and coordinate meetings and events, and maintain records.
  • Regularly update department documents, communication, and assure accuracy of all messaging related to the department.
  • Assist with planning department activities, student events, and clerical duties.
  • Adhere to all policies and procedures of the department and college.
  • Duties as assigned.

PHYSICAL ACTIVITIES WITH/WITHOUT REASONABLE ACCOMMODATION:

Position involves working in an office setting. Occasional (10-33%) standing, pushing, pulling and grasping. Frequent (34-66%) reaching and viewing a computer and other types of close visual work. Constant (67-100%) sitting, walking, repetitive motion, talking and hearing.  

MINIMUM QUALIFICATIONS:

  • Associate’s degree or work experience in an office-support role.
  • Comfortable using and learning new technologies and can demonstrate proficiency in Microsoft 365, Microsoft office products, Zoom, and appointment scheduling software.
  • Proficient in using standard office equipment such as copiers, scanners, phones, and check-in systems.

PREFERRED QUALIFICATIONS, LICENSES, CERTIFICATIONS, OR REGISTRATIONS: 

  • Certifications in office or related technologies.
  • Work experience in an educational setting.
  • Comfortable with data collection and processing.
  • Open to learning and developing process improvements.
