The Opportunity

We are seeking a detail-oriented, proactive, and trustworthy In-House Accounting Specialist to take full ownership of our accounting operations. This is a critical role for our growing team, ideal for someone who thrives in a dynamic, independent environment and is ready to make a lasting impact. You’ll help ensure our financial foundation is strong, manage sensitive financial information with the utmost confidentiality, and support our continued growth by managing daily accounting functions with clarity, accuracy, and care. This role reports directly to the Owner/General Manager and offers the opportunity to grow with the company as we expand.

 

 

Key Responsibilities

  • Manage Accounts Payable (AP) (processing invoices, scheduling payments) and Accounts Receivable (AR) (tracking payments, ensuring timely collection).
  • Prepare and issue invoices, including specialized monthly AIA billing for construction projects.
  • Maintain accurate bookkeeping with detailed transaction categorization in QuickBooks Online.
  • Monitor and reconcile credit balances; manage credit card payments.
  • Conduct cash flow tracking and provide financial insights.
  • Track and account for inventory.
  • Administer and process payroll (e.g., using Gusto or similar).
  • Perform periodic local errands (e.g., bank deposits, document filings).
  • Prepare and process lien waivers; file mechanics liens when necessary.
  • Handle collections and support customer communications with professionalism.
  • Prepare monthly financial statements and reports for leadership.
  • Liaise with external CPA for year-end reporting and tax preparation as needed.
  • Maintain strict confidentiality with financial data, payroll information, and sensitive business operations.
  • Other related duties as required in a growing company.

Preferred Qualifications

  • Associate’s degree in Accounting or a related field, or 2-5 years of equivalent hands-on accounting experience.
  • Experience with AIA billing and payroll administration.
  • Familiarity with lien processes is beneficial.
  • Proficiency with QuickBooks Online and Microsoft Excel. (Experience with other construction or payroll software like Gusto is a plus).
  • Prior experience in construction or trade-related industries is a plus, but not required.
  • Valid Driver’s License required for occasional local errands.
  • Notary Public certification, or willingness to obtain, is a plus.
 

 

Compensation

$55,000 – $60,000 annually, commensurate with experience.
