The University of Iowa is seeking a Grant Accounting Administrative Services Coordinator position. With some guidance, this position will provide oversight of departmental communications via website maintenance, sending/ receiving emails and phone calls, make purchases and monthly vendor payments with Pcard, process daily deposits for sponsor payments made by electronic fund transfer (EFT), monthly account reconciliation, researching sponsor payment remittance advice, reviewing Automated Clearing House (ACH) payment request, generating financial reports. The Administrative Services Coordinator will communicate in a timely, appropriate, clear, respectful, and productive manner with university research personnel, department administrators, university central administration departments, sponsor contact s. This position exercises a great deal of critical thinking and independent problem-solving. Collaborates with various stakeholders across campus as well as funding sponsors. The position requires a high degree of accuracy, apply critical thinking skills to varied and complex situations exercising independent judgment. Self-motivated, ability to successfully work under multiple deadlines.

This position is eligible for primarily remote work but may require limited work onsite at times. This position is eligible for remote work within Iowa and will require a work arrangement form to be completed upon the start of your employment. Per policy, work arrangements will be reviewed annually, and must comply with the and .

Duties to Include:

  • Provide a basic backup contribution for other Administrative Support Team responsibilities (subject to on campus duties).
  • Communicate well with others by adapting communication styles for the intended audience and situation.
  • With some guidance, process daily EFT deposits functions. Deposit functions include researching payment remittances, researching payments, recording payments, communicating with various stakeholders across campus as well as sponsors, depositing payments into correct grant.
  • Update GAO webpage, as needed, maintaining contact lists, staff directory, and organizational charts. Update Controller’s Office website.

Location: Remote

Schedule: Monday through Friday, 8:00am-4:30pm

 

About the Controller’s Office:

The Controller’s Office, a division of Finance and Operations, is comprised of several departments that provide a wide range of business, accounting and reporting services on behalf of, and for, the university community. These services are essential for the University of Iowa to pursue its mission of teaching, research, and public service.

Required Qualifications:

  • Bachelor’s degree, or an equivalent combination of education and experience is required.
  • Administrative experience (typically 6 months - 1 year).
  • Experience processing accounts receivables.
  • Ability to think critically and experience with independent problem-solving.
  • Ability to work independently.
  • Excellent written and verbal communication skills
  • Ability to multitask and meet deadlines.
  • Experience gathering and organizing data from a variety of systems/sources to perform a task.
  • Previous experience working with service excellence/customer focused environment.
  • Proficient with MS Excel.

Desired Qualifications:

  • Experience working with Access database.
  • Previous experience with reconciling financial accounts.
  • Previous experience working with data and file management.
  • Knowledge of University of Iowa policies and procedures.
