Description of Position:

Provide a “snapshot” or the principal purpose or focus of the position, consisting of no more than three to five sentences.  This summary should provide enough information to differentiate the major function and activities of the position from those of other positions.

Performs secretarial, clerical and transcription duties for the Department of Pathology and is responsible for the operation and organization of the pathology office area. Responsible for carrying out the philosophy and objectives established by the Board of Directors and the Management Team. Foremost among these responsibilities are strictly adhering to detail in the performance of laboratory procedures, solving practical problems, resolving conflict and implementing constructive change.


Essential Functions/Responsibilities:

·         Applies knowledge of medical terminology, anatomy, physiology and English language rules to the transcription and proofreading of medical dictation from originators with various accents, dialects and dictation styles.

·         Assumes responsibility for transcription of dictated material under pressure and stress with accuracy in a timely manner.

·         Recognizes inconsistencies and inaccuracies in medical dictation and appropriately edits without altering the meaning of the dictation or changing the dictator’s style.

·         Assumes responsibility for maintaining a 98% or higher degree of accuracy of transcribed material.

·         Formats reports according the established guidelines.

·         Prioritize work appropriately and assist others as time and workload allows.

Administrative Support

·         Receives and makes proper disposition of telephone calls, personal callers, emails, faxes and incoming mail.

·         Establishes and maintains systematic and easily retrievable filing and record keeping systems.

·         Composes and types routine correspondence and other written communication as needed.

·         Orders supplies for send out testing as needed.

·         Maintains records, calendars etc.

·         Maintains confidential files.

·         Assists with special projects and programs.

·         Coordinates meetings and procedures (room scheduling, catering, audiovisuals need, etc) as needed for the pathologists and department manager.

·         Assists with recording minutes at various meetings as needed.


Committed Team

·         Prioritizes work in the best interest of the patient, sharing the work with team members.

·         Assists with training new employees and students, being helpful and supportive in their teaching.

·         Checks emails regularly for huddle minutes and important communications relevant to assignment.

·         Is knowledgeable of hospital and department compliance requirements for federally funded healthcare programs (e.g. Medicare and Medicaid) regarding fraud, waste and abuse.  Brings any questions or concerns regarding compliance to the immediate attention of hospital administrative staff.  Takes appropriate action on concerns reported by department staff related to compliance.

Minimum Requirements

High school graduate or equivalent.

Associate Degree in related field or direct and applicable work experience.








Previous work experience and knowledge of medical terminology and various medical specialties as required in areas of responsibility.  Experience with word processing concepts and computerized equipment.  



Valid driver’s license when driving any vehicle for work-related reasons.







Writes, reads, and comprehends fluent English.


Demonstrates strong computer skills, especially with Microsoft Office software applications.


Demonstrates skill, organization and efficiency in performing required secretarial activities.


Prioritize work appropriately and assist others as time and workload allows.


Demonstrates knowledge that patient and workplace safety is a priority by preventing errors, accidents and infections and reporting potential or actual concerns immediately.


Attends department huddles, staff meetings and other required training.






Use of usual and customary equipment used to perform essential functions of the position.
