Viewpoint Molecular Targeting, Inc. is early-stage pharmaceutical company with products developed for effective treatments for cancer. The company is looking for an experienced office manager to support the company’s executive leadership and technical team. The ideal candidate will have proven office management experience, be highly proficient in project management, relationship building, word processing, spreadsheets, presentations, and communications - and bring professional enthusiasm to the position at all times.

This position reports to the company CEO, Founders (CMO and CSO), and Board of Directors, as well as providing support for technical and clinical trial staff. The position includes coordination and communication with outsourced contract research organizations, consultants, and clinical trial sites with responsibilities according the following.

Operational Support:

• Read and analyze incoming memos, submissions, and reports in order to determine their significance and plan their distribution.
• Open, sort, and distribute incoming correspondence, including faxes and email.
• Organize, file and retrieve corporate documents, records, and reports.
• Prepare responses to correspondence containing routine inquiries.
• Perform general office duties such as ordering supplies, answering phones, and
maintaining records.
• Prepare agendas and make arrangements for committee, board, and other meetings.
• Make travel arrangements.
• Attend meetings in order to record minutes, and compile, transcribe, and distribute minutes accordingly.
• Manage and maintain executives' schedules.
• Maintain and manage the company’s action plan with the goal to keep all actions on
• Review operating practices and procedures in order to determine whether improvements can be made in areas such as workflow, reporting procedures, or expenditures.
Accounting and Financial Reporting Support:
• Maintain the highest degree of confidentiality as it pertains to any and all financial records of the business.
• Prepare A/P.
• Processing of payroll within Quickbooks.
• Monthly reconciliation of statement bank and supporting journal entries.
• Preparation of monthly financial statements.
• Tracking grants and other awarded funds to project scope.
• Any and all other financial related transactions as they pertain to the business.

Required Skills & Experience:

Three or more years of proven Office Management experience with some of that experience in a fast-growth entrepreneurial environment. It is expected that the candidate will be highly skilled in Office products including Word, Excel, Powerpoint, as well as Adobe Acrobat. The ideal candidate will also have experience with:
•Accounting practices/procedures using QuickBooks Desktop Pro 2018.
