Leepfrog Technologies, Inc. provides its CourseLeaf software to more than 450 of the nation’s most academically complex colleges and universities to manage their academic catalogs, curriculum, section scheduling, registration, and syllabi management needs.

Leepfrog receives and responds to public Requests for Proposal (RFPs) from colleges and universities around the world. The Proposal Writer will spend 80-90% of their time developing complex documents detailing every aspect of Leepfrog’s software and services as it pertains to the potential client’s specific questions. This position will coordinate with other departments and understand terminology and functionality found within the CourseLeaf software that is important to the proposal while at the same time conveying value to the requestor. This includes a wide range of information and can contain highly technical and detailed responses – all variables vital to securing a bid for service. The remaining 10-20% of their time will be supporting the Marketing & Sales Team through drafting answers, updating and maintaining the RFPIO database, copywriting, providing market assessments, tracking and analyzing information.


  • Manage the day-to-day aspects of our RFPs process. Write timely, high-quality and competitive proposals that are compelling to potential clients and differentiated vs competition. Ensure bid responses are technically and functionally compliant. Collect all RFP materials into a single body of work and ensure completed RFPs are professional, cohesive, and credible.
  • Serve as specialist to maintain an in-depth working knowledge of CourseLeaf software and how it can be configured, customized, and implemented to meet client requirements and critically, how that translates into clear, compelling proposals.
  • Leads all aspects of assigned Request for Proposals to submission and evaluates opportunities to drive continuous improvement within the Sales Proposal organization.
  • Collaborate with Management/Sales Team to write winning strategy, themes, discriminators, and value propositions to meet specific client needs.
  • Work very independently. Understand the unique needs of the customer and industry to suggest and articulate the best solution to fit requestor needs. Continuously improve proposal submissions by identifying improvements to product language, and coordinate updates across departments.
  • Leads internal preparation including strategy review meeting. Coordinate document review, solicit feedback, gather approvals, and act as a liaison between the client and internal departments. Ensure follow-up with clients after answers have been determined. Coordinate cross-functionally with other departments and colleagues to get needed information for more complex answers.
  • Collect, analyze, and summarize data and recognize trends. This includes recurring product/service requests that may assist in determining future enhancements to Leepfrog offerings.
  • Attends pre-proposal meetings and act as the face of the company. Attend proposal debriefing meetings, compile “lessons learned” summary to share with the Sales team.
  • Take ownership of the RFPIO database; maintain and update the Answer Library; train new colleagues on how to use the system; keep up-to-date on best practices. Update internal website; load into Salesforce.
  • Review FOIAs and share information with the Sales team; maintain FOIA database.
  • Collaborate with Marketing on the layout, formatting, design and presentation of RFPs.
  • Notarize RFP pages.

Sales activities:

  • Apart from RFPs, assist account executives with client-submitted questions. This includes drafting appropriate responses for account executives to share with clients. Maintain commonly asked questions in an RFPio software database for future reference.
  • Support sales presentations by assembling quotations, proposals, videos, slide shows, demonstration and product capability booklets; compiling account and competitor analyses.
  • Assist in updating competitor database by adding data from field sales; compiling, consolidating, formatting, and summarizing information, graphs, and presentations; distributing reports. Adhere to prescribed deadlines.
  • Other duties as assigned.


  • Impeccable written communication: able to clearly convey ideas across a wide range of internal and external audiences in a clear, concise, and professional manner.
  • Demonstrate effective organizational and time management: the ability to organize and manage multiple priorities, meet strict deadlines over multiple projects
  • Ability to understand computer software capability and how they translate to meeting client requirements.
  • Experienced in assessing technical, financial, schedule, or other associated risks with solicitations.
  • Strong work ethic: be a reliable self-starter with strong initiative.
  • Planning: an ability to think ahead, prioritize, and plan over a 3-9-month time span.
  • Problem-solve in a changing environment: analyze situations quickly and react appropriately with minimal supervision.
  • Teamwork: demonstrated ability to interact effectively with others.
  • Excellent Word, Excel, and PowerPoint skills. Advanced knowledge and experience with Adobe Creative Suites, HTML, and CSS preferred but not required.
  • Leadership: a demonstrated ability to lead people and get results through others; lead by example and foster mentoring relationships.
  • Experience with RFPIO or similar proposal database.
  • The ideal candidate will be a registered Notary Public, through the State of Iowa.


The position requires 3-7 years prior applicable experience. A bachelor’s degree in English, Communications, Marketing, or equivalent combination of education and experience. High level of internet literacy is a must, with strong knowledge of web systems, tools, and applications. Incumbent must have proven ability to work under pressure, delivering high quality work consistently against tight deadlines. The ideal candidate will be able to operate in an entrepreneurial, small company environment with the ability to adjust to client schedules. May be required to travel.

Physical Requirements

Generally, this position is considered sedentary and will use office equipment, phones, and computers. This position is required to work in the corporate office and may be located in a busy, open area office, faced with regular interruptions.
