Event Coordinator

   TrueNorth Companies has an immediate opening for an Event Coordinator to work in our Cedar Rapids office. The primary responsibility of the Event Coordinator is to assist with build and maintain the creation, coordination and execution of internal and external company events. The position will support the Creative Agency and TrueNorth Leadership with achieving high quality and high impact events that support the firm's strategic goals. The role is expected to assist with the creation and implementation of small, mid-size and large events, marketing campaigns and other duties that assist in creating a world class client experience that enable TrueNorth to differentiate from competitors while defining and reinforcing the brand.

Responsibilities include, but are not limited to:

  • Schedule meeting for coordinator, Senior Event Specialist (SES) and clients  
  • Communicate with internal clients on event status (WIP reports), update progress in system, etc. 
  • Attend and assist in event scope and debrief meetings 
  • Create, monitor and manage event registration websites 
  • Assist in development and deployment of event communication, to include emails, social media posts, surveys, etc. 
  • Update TrueNorthCompanies.com/events and other appropriate communication channels to add & remove public event information, as necessary 
  • Assist with the flawless execution of events from start to finish, according to requirements, target audience and the objectives outlined to the satisfaction of the requesting team 
  • Prepare for events by creating signage, name tags, coordinating facility requests, etc. 
  • Research and complete preliminary negotiations for venues and/or vendors; work with vendors to coordinate catering and other arrangements 
  • Attend events and check in attendees, execute setup, tear down/clean-up, and coordinate event support staff (event bartenders, wait staff, caterers, entertainment), etc.
  • Understand, respect and communicate the importance of consistency and compliance with TrueNorth brand identity guidelines
  • Establish trust with leaders to achieve great experience for the client, as measured by feedback
  • Other duties as assigned, appropriate to the position     

Education & Experience:  

  • High School diploma required  
  • Some college is preferred
  • Two years professional work experience in the marketing and/or event planning field is preferred  
  • Must also have experience in Microsoft Office; specifically, advanced PowerPoint and Word skills

  • Willingness and ability to work outside standard business hours; this job will require occasionally working non-traditional business hours (mornings, evenings, etc.)
  • High level of attention to detail, highly organized and exceptional time-management skills
  • Ability to follow multi-step directions for various simultaneous projects/events and complete all tasks assigned on time and correctly
  • Ability to prioritize workload and execute simultaneous projects for multiple clients
  • Proactive, positive "get it done" work style, and an ability to follow through on all tasks assigned
  • Self-motivated individual who thrives in a fast-paced, changing environment
  • Strong work ethic and commitment to professionalism and confidentiality
  • Demonstrated ability to be a collaborative team player - Must be able to work successfully both independently and within a team
  • Strong critical thinking and problem-solving skills; ability to resolve client requests and concerns in a professional, efficient and positive manner
  • Excellent verbal and written communication skills
