Job Information:

The University of Iowa is seeking a Management Services Supervisor for the Campus Mail Department. The position is responsible for the supervision, overall operation and success of mailing operations for the University of Iowa. This position is also responsible for providing mailing consultation for the University of Northern Iowa and University of Iowa Hospitals and Clinics.

Duties and Responsibilities:
  • Supervision and scheduling of work for all staff in the University’s Bulk Mail, Mail Metering, and Campus Mail areas.
  • Provide performance evaluations, ongoing coaching and development, and discipline as needed for employees.
  • Interviewing and hiring of new staff.
  • Training for new hires, and monitoring of training compliances for existing staff.
  • Coordinate with UI Printing Services Manager and staff to ensure success on shared projects and jobs.
  • Keep up to date on all applicable postal regulations and guidelines, and provide communication on changes that may affect any University mailings or processes.
  • Serve as primary liaison for questions regarding mailing or postal issues for all University departments, University Hospitals and Clinics, and the University of Northern Iowa.
  • Collaborate with other Business Services units as needed to meet overall goals of the organization.
  • Review or recommend purchases of equipment, supplies, or additional resources.
  • Create, maintain, update maintenance schedules and review/approve maintenance work as needed
  • Identify opportunities for improvement, increased efficiencies, or process changes within the department, and assist with development and implementation of production solutions.
  • Promote a positive, productive and respectful work environment.

Experience Required:
  • A Bachelor’s degree or an equivalent combination of education and experience is required.
  • 1 year of related administrative and supervisory or management experience.
  • Demonstrated ability to work effectively in a collaborative team environment.
  • Ability to work with a diverse group of staff at all levels of an organization.
  • Excellent written and verbal communication skills are required.
  • Strong Customer Service Skills are required.
  • Must be proficient in computer software applications such as Microsoft Office (Outlook, Excel and Word).
  • Ability to manage confidential information, work independently and exercise good judgement.
  • Valid driver’s license and ability to meet and maintain UI Fleet Safety Standards.

Desirable Qualifications:
  • Experience working with various mailing equipment and software such as postage meters, shipping software, mail inserters, address printers, sealers and tabbers.
  • Knowledge of USPS guidelines and regulations.
  • Knowledge of University of Iowa guidelines and procedures.
  • Experience working with delivery and route scheduling.
  • Experience with implementation of process improvements in the workplace.
  • Chauffer's License and ability to meet and maintain UI Fleet Safety Standards.
