Job Information:

HOURS PER WEEK: PART-TIME, 25 HOURS, 5 DAYS PER WEEK
5 HRS PER DAY IN OFFICE [9 AM - 2 PM]
START DATE: DECEMBER 2017

GENERAL SUMMARY OF DUTIES:

The Executive Director under the supervision of the Vice President is responsible for managing the operations of our small nonprofit organization, Families Helping Families. This person will be the point of contact for the organization’s families, volunteers, community members and donors. This person will be expected to work directly with our families and to serve the foster care community with grace. This person will manage a two person office and be responsible for covering all customer service office duties including phones, greeting guests, cleaning, keeping the office neat & tidy or anything else that may need completed. This position is considered an entry level Executive Director Position and will require the physical ability to haul donations, unload and sort clothing, lift at least 35 pounds and to perform various tasks as assigned.

JOB QUALIFICATIONS:
Education/training/experience in nonprofit management if required.

Experience: 
  • Knowledge of relevant software applications including MS Office, proficient in use of email and internet, accurate keyboard skills, knowledge of administrative procedures.

Skills:
  • Ability to type 40 words per minute.
  • Must be computer savvy
  • Multitasking is a must
  • Self-motivated
  • Able to work alone or with a team
  • Organized
  • Friendly
  • Valid driver’s license needed
  • Must pass background check
  • Be available to work additional hours during events

Physical Abilities:
  • Must be physically fit and able to lift 35 pounds and be on your feet as needed

STRATEGY
  • Assist in the development of long range strategy to achieve FHF’s mission & vision

GRANTS
  • Work with grant writer to secure grant funding: research, write, and communicate with board, report.

FUNDRAISING, EVENTS & MARKETING
  • Assist with securing adequate financial resources for FHF to fulfill its mission.
  • Plan, advertise, public relations, research/ask/track donations.
  • Develop planned giving program
  • Maintain relationships with community groups, organizations & general public
  • Secure corporate partnerships
  • Maintain community impact information
  • Develop & maintain advertising pieces

DONORS
  • Build a sustainable fundraising mix
  • Develop/ Manage campaigns

PUBLIC RELATIONS
  • Research/ writing
  • Represent FHF in a positive way
  • Interviews
  • Press Releases
  • Newsletter monthly

PHONE/ MAIL/ BANK
  • All incoming calls and messages
  • Daily open, distribute or follow up
  • Make deposits

PROGRAMS & SERVICES
  • Primary contact for all programs & services
  • Manage family database
  • Maintain & Sustain budgets & regulations for:
  • Shoe Vouchers
  • Back to School Rally
  • Clothing Closet
  • Spread Your Wings
  • Tutoring
  • Clothing Closet

INFORMATION
  • All Logins & Passwords
  • Organizational planning
  • Maintain certificates/licenses/official documents
  • Ensure compliance with federal, state & local regulations
  • Track Keys & Alarm system codes

INSURANCE
  • Maintain insurance on building and/or staff

COMMUNICATION
  • Get approval & send communications
  • Daily with Executive Board
  • Weekly with Board of Directors
  • Monthly with full board
  • Maintain agency schedule vs. Exec Team (Google Calendar)

BOARD
  • Maintain board spreadsheet including members & job descriptions
  • Maintain membership & time commitment
  • Communications Report for monthly board meeting
  • Coordinate & maintain board committees, goals/agendas & timelines
  • Orient new members

TRACK/MAINTAIN 
  • All processes as written documents

VOLUNTEER COORDINATION
  • Maintain & sustain a diverse volunteer population for:
  • Maintenance/ Tracking/ Finance/ Website/ Events
  • Track scheduled hours of volunteers

BUDGET & FINANCE
  • Understand, explain and maintain annual budget (with Treasurer)

MAINTENANCE VOLUNTEER/ BUILDING
  • Build a sustainable volunteer mix for maintenance/ cleaning/ lawn & snow/construction/heating/cooling
  • Be aware of building needs and schedule
  • Maintain tax exempt status yearly
