Position Summary: Provide administrative services to the Associate Vice President for Legal Affairs and Deputy Counsel. Perform administrative responsibilities requiring discretion, independent judgment, and a high degree of customer service.
Position Responsibilities:
- Manage multiple projects, email, and assignments for the Associate Vice President for Legal Affairs using a high level of autonomy, including planning, organizing, and monitoring daily activities.
- Compose correspondence, basic agreements and amendments, Power Point presentations, and other documents from disparate pieces of information, often requiring considerable discretion and judgment. Keep track of versions from multiple authors. Ensure an accurate, high quality work product that meets project timelines.
- Assist with transactions which often involve multiple documents.
- Perform all functions with a high level of discretion and confidentiality.
- Perform all functions ensuring a high level of customer service, including communication and organizational skills
- Serve as departmental liaison to executives from the University of Iowa, University of Iowa Health Care, University of Iowa Carver College of Medicine, regulatory and accreditation governmental agencies, and the public.
- Serve as primary contact for phone and in-person compliance inquiries and complaints.This position requires excellent customer service skills including patience, empathy, and clear communication skills. Manage Outlook calendar and schedule meetings for Associate Vice President for Legal Affairs.
- Assist in coordinating resources needed to complete a project or for day to day workflow. Work with Associate Vice President for Legal Affairs to obtain the appropriate resources.May include purchase requests for supplies, equipment, publications, training, association dues, event registration, travel arrangements, expense vouchers, etc.
- Assist in special projects and presentations, including organizing educational training sessions and assisting in regulatory site visits.
- Maintain effective working relationships with faculty, staff, students, and the public.

Bachelor’s degree or equivalent combination of education and experience
Experience Requirements
- 6 months-1 year experience in an administrative role is required.
- Prior experience in a legal setting or a health care setting is required.
- Superior attention to detail, including excellent composition and editing skills, is required.
- Demonstrated effectiveness in written and oral communication to a variety of constituencies while maintaining confidentiality standards is required.
- Demonstrated ability to work independently to complete multiple projects and meet deadlines simultaneously in a dynamic environment.
- Proficiency in Microsoft Office software applications, including Word, Outlook, Power Point, and Excel, is required.
- Experience coordinating travel and reconciling associated expenses is desirable.
- Knowledge of University of Iowa procurement and travel policies and procedures is desirable.
- Knowledge of University of Iowa and University of Iowa Health Care policies, procedures and regulations is desirable.
