The Human Resources Administrator provides assistance to the Human Resources department.   Administrative duties include maintaining personnel records, managing HR documents (e.g. employment records and onboarding) and updating internal databases. The ideal candidate has experience with HR procedures and can juggle various administrative tasks in a timely manner. Understands the importance of maintaining confidentiality at all times.

Ultimately, the candidate should be able to ensure our HR department supports our employees while conforming to labor laws.

  • Works closely with employees at all levels within the organization.
  • ­ Serve as Front Desk Receptionist; greet vendors and customers entering the office. 
  • ­ Answers routine general HR inquires from employees.
  • ­ Accurately maintains employee personnel files, I-9 files and HRIS.
  • ­ Facilitates corporate communications (newsletter, electronic daily communication centers).
  • ­ Create regular reports and presentations on HR metrics (e.g. turnover rates ) 
  • ­ Completes new hire and termination check lists.
  • ­ Coordinates recruitment activities, interviews, and evaluates the hiring process by coordinating job posting on the website, interview schedules, and occasionally performing telephone interviews, interviews, evaluates candidates for open positions, and reference check. Maintains records related to same. 
  • ­ Administers employee fringe benefits including but not limited to clothing allowance and parking permits.
  • ­ Represents the company at selected job fairs. 
  • ­ Inputs information into the HRIS system including new hire information, benefit updates, wage updates, notes etc.
  • ­ Manages the tracking of vacation and personal time accruals in the HRIS system.
  • ­ Assists with tracking annual and ninety day Catalytic Coaching progress, and stay and exit interviews.
  • ­ Assist with Human Resources team with planning, and executing employee events.
  • ­ Back-up the executive assistant during times of absence.
  • ­ Handle all travel arrangements and itinerary preparation for employee professional development and candidate recruiting. 
  • ­ Revise company policies or procedures as directed 
  • ­ Conduct employment verification, leads the processing and tracking of unemployment claims, COBRA, & Workers Compensation.
  • ­ Process health and welfare plan enrollments and terminations. Process required documents through payroll and insurance providers to ensure accurate record keeping and proper employee deductions. 
  • ­ Be knowledgeable of ImOn products and services.
  • ­ Interface with IT department on proper functioning of office equipment
  • ­ Process and delivering incoming and outgoing mail.
  • ­ Maintain employee breakroom
  • ­ All Other Duties as Assigned

  • Associates degree plus at least 2 years administrative/office management experience. 
  • Proficient PC skills including electronic mail, record keeping, routine database activity, word processing, spreadsheet, etc. Must be proficient with Microsoft Office applications.
  • Excellent oral and written communication skills with demonstrated ability to articulate relevant information in an organized and concise manner. 
  • Excellent interpersonal and communication skills. Must have the ability to proactively work independently with minimal supervision.
  • Strong attention to detail, exceptional organizational and time management skills are required for success in this position.
  • Must be flexible and be able to multi-task with the ability to maintain composure during high activity periods.
