Human Resources Assistant

The Human Resources Assistant supports Mercy’s philosophy of patient centered care providing Human Resources services and support to all employees and by performing project coordination and administrative duties. The Human Resources Assistant is the first line of communication with employees and the public within the Human Resources department.

Hourly rate is based on experience with a minimum of $14.95/hour.

Job/Position Specific Duties
  • Job Specific Duties/Essential Functions:
    • Provides administrative support to Director, Clinic Human Resources and Director, Labor Resource Management.
    • Responds to calls and visits from employees, managers, and others and determines the urgency of the situation. Suggests appropriate referrals. Answers phones, prioritizes, screens, and redirects calls. Answers questions, handles routine matters, and takes messages.
    • Utilizes HRIS to complete employee setup in HRIS and process employee status changes, to include annual/merit increases and terminations.
    • Sends COBRA forms as needed. Maintains COBRA billing statements and payments. Reconciles benefit invoices.
    • Generates reports, prepares/distributes MercyCare Memo, manages special mailings, completes annual Affordable Care Act mailing and Welfare Benefit report.
    • Plans and facilitates MercyCare orientation. In addition, coordinates and facilitates first-day orientation, to include standard new hire paperwork, introduction to Portal, NetLearning, LaborWorkx, and Outlook.
    • Maintains filing system for employee records, including Workers Compensation and FMLA files, background checks, I-9 forms and EEOC information.
    • Maintains and tracks employee information including licensure renewals and completion of required trainings. Facilitates and tracks tuition reimbursement and continuing education benefits.
    • Assists in the coordination of employee appreciation events and the Commitment to Community campaign. Participates in the Employee Appreciation Committee.
    • Serves as the Secondary Functional Systems Administrator for LaborWorkx for Staff/Scheduling, Time/Attendance and Attendance + systems, including building activity codes and other system configurations. Maintains security of LaborWorkx systems and assigns permissions as needed. Serves as Liaison between Mercy and API in LaborWorkx application support issues. Proficient in all functionality of LaborWorkx TASS, including Incentive pay (who is eligible, turning on, etc.), Trade requests, Self-scheduling, House requesting, On-call pay code, Training codes, Daily custom productivity reports, Open Shift Notifications module and use of the Current Staffing Overview (CSO) screen and the Annual staffing plan and staffing distribution process/configurations.
    • Facilitates audits and report reviews and proactively supports managers to maximize functionality of the LaborWorkx TASS.
    • Conducts training classes on the LaborWorkx automated Staff/Scheduling, Time/Attendance and Attendance + systems. Co-develops training manuals and help guides.
    • Collaborates with Labor Resource Analyst by creating regular updates and educational materials to market functionality of LaborWorkx (TASS) throughout Mercy.

  • Proficient in use of MS Office applications, including Outlook, Word, Power Point and Excel

  • Maintain confidentiality

Professional Experience- Required vs. Preferred
  • Two years of previous administrative experience required plus two years of human resources related work experience required. Bachelor of Arts in Business or Human Resources may be substituted for previous administrative experience.

Education- Required vs. Preferred
  • High school diploma or GED required.
  • Associates degree preferred.
