Overview
Leepfrog Technologies, Inc. provides its CourseLeaf software to more than 300 of the nation’s most academically complex colleges and universities to manage their academic catalogs, curriculum, section scheduling, and student course search requirements.
The Lead Conference and Event Planner is a keystone position responsible for all organizational aspects of our participation at 45+ conferences, trade shows, and our annual Leepfrog User Conference. You are the primary steward of conference logistics and, in coordination with the Conference and Event Coordinator, responsible for meeting deadlines and communicating out necessary information to team members. This includes creative work to make a strong presence in booth and marketing materials used at conferences. The planner collaborates frequently with the sales team to assist in executing marketing and sales strategies and tactics related to conferences and events. Additionally, the Planner is the primary owner of the Leepfrog User Conference, a 350-person conference held in late February. The Planner is a member of the marketing team and reports to the Marketing Manager.
Duties
  • Manages all aspects of company presence at tradeshows and conference activity, including logistical and sponsorship coordination, and budget oversight.
  • Functional supervision of Conference and Event Coordinator to ensure success of conference logistics.
  • Maintains excellent communication with key internal and external stakeholders.
  • Collaborates with Leepfrog teams to meet company goals, pro-actively evaluates outcomes and makes recommendations.
  • Assists in the development of conference go-to-market strategies and tactics, coordinates the execution of these strategies. May create and develop marketing programs to build awareness and impact at conferences
  • Ensures a strong, impactful on-site presence at conferences including presentations, booth presence, and ancillary branding to meet conference goals.
  • Hires vendors as needed to execute conference logistics.
  • Reserves locations, lodging, and other travel arrangements for conference attendees, in conjunction with Conference Coordinator.
  • Tracks and reports conference outcomes (ROI) to Marketing Manager and TSM team.
  • Complies with and enforces Leepfrog established policies and procedures.
  • Other duties as assigned.
Duties related to the Leepfrog User Conference:
  • Owns conference planning and logistics to plan and execute a high-caliber conference experience.
  • Acts as primary point of contact between LF, host site, and hired vendors.
  • Recommends conference budget for approval by LF leadership, executes approved budget, tracks budget allocations and expenditures to meet budgetary constraints.
  • Maintains excellent communication with key internal and external stakeholders.
  • Coordinates session presentations and logistics with LF presenters.
  • Coordinates creation of conference collateral and marketing material.
  • Oversees registration and payment process for LUC attendees.
  • Researches and recommends annual site location.
  • Other duties as assigned.

Qualifications
A minimum of three (3) years' relevant professional experience is required. Best candidates will have between 3 – 6 years, or more. A bachelor’s degree or equivalent combination of education and experience is required.  Possess competency with Windows OS, Microsoft Suite (Word, PowerPoint, Excel), standard web browsers, and other computer applications. Knowledge of CVENT is preferred. Experience with SalesForce is a plus. The ideal candidate will be able to operate in an entrepreneurial, small company environment with the ability to adjust to client schedules.
Physical Requirements
Occasional travel is required (approximately 5 - 10%). Periodically, the employee must lift and/or move up to 60 pounds as the job entails modest physical work during the execution of conference-related duties. Day-to-day work will be at a desk using office equipment and computers.
