Overview

Description of Position:

A Department Assistant provides auxiliary clerical support to Control Desks within the Surgical Division. Department Assistants will float and provide clerical support to manage Control Desks as assigned and as needs arise. The Department Assistant is responsible for providing clerical services specific to each unique desk, to ensure effective and efficient departmental operations.  Flexibility in hours, maintaining continuity of skills sets, and ability to work under multiple supervisors is crucial in meeting the needs of the Division.  Additional clerical duties will be assigned as needed to support the Surgical Division’s work such as Divisional payroll, ordering of clerical supplies for departments, and ordering from UPH Print Shop.

 

As a face of the department, the Department Assistant supports customer relations, physician relations, and patient care under the direction of multiple supervisors. This highly visible position must be aware of the importance and impact the position has on the hospital's public relations.  Positive human relations skills are always necessary and required to be exhibited.

Key Accountability While in Control Desk Specialist role:

·         Maintain responsible for all clerical duties of the clinic

·         Complete final step of registration; arrival in EMR

·         Chart preparation

·         Charging and billing within compliance window

·         Phone management

·         Notification of patient and reminder calls

·         Facilitate communication between team members utilizing Vocera

Key Accountability While in Additional Duties to Support Surgical Services

·         Maintain accuracy and timeliness in payroll processes.  Payroll resource for Surgical Services

·         Assist departments in ordering clerical supplies

·         Assist departments and managers in ordering print material from UPH Print Shop

·         Completes all annual education and competency requirements within the calendar year.

·         Is knowledgeable of hospital and department compliance requirements for federally funded healthcare programs (e.g. Medicare and Medicaid) regarding fraud, waste and abuse.  Brings any questions or concerns regarding compliance to the immediate attention of hospital administrative staff.  Takes appropriate action on concerns reported by department staff related to compliance.
