The Scheduling & Revenue Cycle Specialist is responsible for maintaining positive communications and is in a key position to market the surgical program through direct interactions with the medical staff and their office personnel. The Scheduling & Revenue Cycle Specialist will report directly to the Business Operations Supervisor and will work closely with OR team, utilization management, insurance carriers, hospital departments, and surgeon/anesthesia scheduling personnel to ensure the maintenance of high quality revenue cycle operations within Surgical Services.


Essential Functions/Responsibilities:

Customer Service

·        Establishes and maintains productive, professional relationships with key personnel

·        Proactively assesses, clarifies, and validates customer needs on an ongoing basis.

·        Maintains friendly and courteous interpersonal communications, attempting to meet surgeon scheduling needs whenever possible, providing alternative times when preferences cannot be met.


Schedule Management

·        Allocates schedule time to surgeons based on established blocks, first come/first served, and add-on scheduling policies.

·        Determines criteria that create variable case duration times and incorporates these into the scheduling process.

·        Works with the OR management team to determine equipment and instrument needs, and to refine/improve the scheduling process.

·        Works with anesthesia and their office staff to incorporate efficient use of anesthesia resources into the case scheduling process.

·        Verifies preliminary surgery schedules on a daily basis to ensure accuracy and completeness, preventing errors that could potentially cause a dysfunctional schedule.

·        Maintains close contact with surgeon’s offices and follows up on scheduled cases as necessary.


Revenue Cycle Management

·        Accurately charges for Surgical Services division services in addition to supplies in a timely fashion.

·        Works closely with the Business Office Supervisor, the OR management team and nursing staff to ensure appropriate and complete patient billing procedures.

·        Checks patient charges for each service provided to ensure accuracy and maximum financial reimbursement.

·        Documents all changes in the billing process in the Surgical Services billing manual.

·        Practices and reflects knowledge of HIPAA, TJC, DNV, OSHA and other federal/state regulatory agencies guiding healthcare.

·        Completes all annual education and competency requirements within the calendar year.

·        Is knowledgeable of hospital and department compliance requirements for federally funded healthcare programs (e.g. Medicare and Medicaid) regarding fraud, waste and abuse.  Brings any questions or concerns regarding compliance to the immediate attention of hospital administrative staff.  Takes appropriate action on concerns reported by department staff related to compliance.

High School Diploma


One year post-secondary schooling in related field or direct and applicable work experience

Associates degree in related field or direct and applicable work experience





Minimum of two years in an office setting/health related field












Certified Revenue Cycle Representative (CRCR)







Writes, reads, comprehends and speaks fluent English



Strong customer service orientation/mindset



Critical thinking skills using independent judgment in making decisions


Basic computer knowledge using Microsoft Office, web browser, and email

Knowledge of medical terminology/anatomy and Surgical Procedures


Knowledge and understanding of hospital revenue cycle
