Position Summary:
Contribute to the success of the fellowship training program in the Division of Gastroenterology/ Hepatology (GI/ Hep) through the coordination and support of all aspects of the program including support the daily operations of the fellowship training program, coordinate fellowship interviews, monitor accreditation, schedule and monitor fellow evaluations and program reviews.

Position Responsibilities: 
Operational Support and Management:
Support the daily operations of the fellowship training program which includes the coordination and implementation of clinical and research schedules, assignments, conferences, and guest speakers.
Coordinate all aspects and logistics for the fellowship interviews, subsequent hire, licensure, credentialing, compliances and orientation.
Monitor accreditation for the fellowship programs which include completion of annual reports required by ACGME.
Assist with the national five year review cycle for two accredited fellowship programs. This includes site visit preparation and management of required data and information.
Be a support for the Fellowship Directors and Fellows by maintaining a thorough knowledge of current national fellowship guidelines and requirements.
Schedule and monitor fellow evaluations and program reviews. Collect, maintain, and analyze data on program participants.
Assist in the evaluation of program effectiveness and impact.
Assist with phone and fax coverage for the department when necessary.
Assist with travel arrangements and meetings/ conferences
Support the daily operations of the department faculty and staff.
Human Resources (HR):
Exercise basic knowledge of HR policies and procedures as they apply to the physician trainee.
Provide basic guidance and direction.
Provide functional supervision for assigned students.
Financial Responsibility:
Initiate purchasing requests for fellows and faculty.
Monitor fellowship accounts/expenditures; reconcile statements
Strategic Planning:
Work with Fellowship Director, as well as the Educational offices and Departmental Fellowship Director in the preparation and coordination of strategic plans and the implementation of goals.
Information Management:
Serve as point of contact for the GI/ Hep Fellowship Program. Provide information and respond to inquiries from applicants and other medical institutions.
Communicate with department, college, and university resources as well as outside agencies.
Gather and provide fellowship compliance information using a variety of available resources.
Serve as point of contact for GI/ Hepatology faculty members
Communications Management:
Prepare and administer all fellowship correspondence.
Serve as liaison to faculty, staff, public and national fellowship organizations concerning inquiries or complaints requiring interpretation of policies, procedures and programs.
Education Required
· Bachelor’s degree or an equivalent combination of education and experience is required.
Experience Requirements
  • Proficiency in computer software applications including Microsoft Word, Outlook, PowerPoint and Excel is required
  • Ability to work outside of normal office hours when needed is required.
  • Excellent written and verbal communication skills are required.
  • Demonstrated work experience of administrative office support (6 months- 1 year) is required
Desirable Qualifications
  • Experience with EPIC is highly desirable.
  • Experience with Graduate Medical Education is highly desirable.
  • Demonstrates a working proficiency and success in organizing and planning tasks, processing detailed information with a high level of accuracy and meeting deadlines is desirable.
  • Application of the communication techniques and relationship building skills that develop the ability to work with a variety of individuals and groups in a constructive and collaborative manner is desirable.
  • Demonstrates working proficiency in understanding of the issues related to the decision-making process; ability to analyze situations fully and accurately, and reach productive decisions with a moderate level of autonomy while multi-tasking is desirable.
  • Experience working in a clinical department is desirable.
  • Some knowledge of University policies, procedures and regulations is desirable.
