Central Staffing Coordinator

Job Information:

This position supports Mercy’s philosophy of patient centered care by populating, analyzing, balancing, and maintaining all staff schedules for the Inpatient Units at Mercy Medical Center. Working collaboratively with Nursing Leadership, the Central Schedule Coordinator will communicate effectively, and schedule optimal levels of staff on the inpatient units. Safe patient care will be the guiding principle in the formation of unit schedules.

Job Specific Duties/Essential Functions:
  • Build and post core schedules, including weekends and holidays in collaboration with Nurse Managers and Directors
  • Review and approve calendar requests in conjunction with Nurse Managers
  • Monitor/populate staff entries for preferred schedules
  • Identify shift vacancies and balance schedule as needed, observing staff requests to the extent possible
  • Communicate proactively with leaders to identify unresolved shift vacancies
  • Enter schedule changes into LaborWorkx system for daily maintenance
  • Answer multi-line phone system promptly and professionally
  • Collaborate with leadership responsible for float pool to maximize pool staff availability to match staffing needs
  • Assist Nursing Supervisor with staff assignments every four hours
  • Attend huddles, with focus on changes in staffing/communication of needs
  • Make rounds on inpatient units, focusing on staffing
  • Adherence to scheduling deadlines
  • Timeliness and accuracy with Laborworkx data entry

Knowledge, Skills and Abilities:
  • In-depth understanding of the principles of staffing/ scheduling methodologies and budget controls
  • Intermediate to advanced level of computer literacy
  • Operates office equipment, such as multi-line phone system, fax machines and copiers
  • Excellent interpersonal skills and the ability to communicate and work effectively with others
  • Excellent organization/time management skills
  • Excellent written and verbal communication skills
  • Role Models exemplary customer service skills including verbal and non-verbal skills and proper phone etiquette

Professional Experience– Required vs. Preferred:
  • Technical systems knowledge (Laborworkx, Staffing/Scheduling, etc.) required
  • Experience with the complexity of staffing inpatient areas preferred

Education-Required vs. Preferred:
  • High School Diploma or equivalent required
  • Bachelor's Degree preferred
