Description

The Operations Team Leader is a highly positive and motivated professional with strong leadership skills. This position will lead our client service team and support the firm’s compliance program. Duties of this position will evolve over time depending on firm initiatives, and the development of specific skill sets and your interests. Applicants should understand their duties may change on a day to day basis as they assist the Operations, Compliance, and Advisory teams with projects of high priority to our clients and the growth of the firm.

You are the right person if you have management experience, strong problem-solving abilities and are extremely detail oriented with highly developed organizational skills. Effective communications skills are a must, as well as the ability to cultivate effective and collaborative relationships in a dedicated team culture.

Operations

  • Support the Operations Manager with special projects and initiatives to support firm productivity and growth
  • Lead, manage, and hold accountable (LMA) the client service team to facilitate an exceptional client experience
  • Independently manage and execute a variety of operations and process improvement initiatives
  • Become subject matter expert for firmwide portfolio and account maintenance technology (Orion Advisor Services); with primary responsibility for account and portfolio maintenance including, reconciling trades, entering and validating client distributions and deposits, and transaction review and classification
  • Lead firm reporting efforts, including oversight of quarterly statement process, ad hoc portfolio reporting, and integration of data and reporting with CRM
  • Support quarterly and one-off billing of client accounts, including but not limited to generating and processing client billing, submitting billing fee files to custodians, and conducting ongoing account audits and data reviews
  • Analyze current processes, recommend process improvements and work with all departments to streamline stages of the client lifecycle using technology
  • Develops and maintains written systems of all their activities
  • Writes down 6 Most Important and prioritizes them each day before leaving office
  • Remains current on industry through reading & conference attendance

Compliance

  • Support the Chief Compliance Officer (CCO) to provide oversight and execute compliance requirements
  • Maintain compliance calendar and checklist, and support the timely and accurate reporting of regulatory documents
  • Work with CCO to review and provide ongoing maintenance of compliance related documents; Maintain inventory of compliance documents and update as required
  • Maintain and update compliance logs and assist the CCO in conducting compliance reviews

Knowledge, Skills, Abilities

  • 3 or more years of successful administrative, client service, or services operations experience
  • A genuine interest in service and caring for other people
  • Team oriented with strong integrity and professionalism
  • Self-starter, takes initiative, and is excited about taking a project from idea to completion
  • Ability to identify, meet, and follow through with internal and external client needs and requirements
  • Superior organizational skills with strong attention to detail
  • Ability to think strategically to improve internal client service systems or develop procedures
  • Experience with Redtail or similar CRM experience is highly preferred
  • Highly proficient in Microsoft Excel is preferred
  • Experience with Orion or other financial account and portfolio management system is a plus
  • Knowledge of EOS is a plus
