Summary of Job Description:

This part-time position working up to 25 hours per week will report to the Director of Finance. Desired individual will have an outgoing and friendly personality, demonstrated professionalism and tact in communications with diverse individuals, strong organizational and time management skills, acute attention to detail, and an ability to work well with the Museum and Library’s volunteers, administrative team and department directors. 


• Associate’s degree (AA/AS) or equivalent; minimum of two years’ related experience; or equivalent combination of education and experience.

• Nonprofit experience is a plus.

• Proficiency in QuickBooks Premier and additional proficiency in Windows operating systems with Microsoft Office 2016 including, Excel, Word, Outlook and OneNote.

• Excellent verbal and written communication skills.

• Strong organizational, problem-solving, and analytical skills; ability to manage priorities and workflow.

• Strong mathematical skills.

• Strong interpersonal skills.

• Demonstrates a high level of professionalism in dealing with confidential and sensitive information and issues.

• Ability to deal effectively with diverse individuals at all organizational levels.

• Good judgment, with the ability to make timely and sound decisions.

Duties & Responsibilities:

Accounts Payable – carry out policies in regards to bills to be paid. This includes:

• Manages the application of payment policies and communication with staff and vendors to ensure approval and timely vendor payment.

• Allocates to cost centers, projects and funds when posting expenses.

• Maintains records for revenue and expenses that support recorded transactions.

• Confirms that established internal controls are applied.

Accounts Receivable – carry out policies in regards to receipts. This includes:

• Records revenue from the various departments in accordance with generally accepted accounting principles. 

• Posts receipts by function or project, department and fund. 

• Works closely with the database manager, who is the first point of contact regarding gifts to the NCSML.

Other duties include:

• Assists in the reconciliation of general ledger accounts during the monthly closing cycle and assist the Director of Finance in providing reports to administrative and department directors.

• Proactively maintains highly organized filing system, files invoices, payroll paperwork, reimbursements, insurance information and other financial records.

• Assists in the development and implementation of systems and procedures as needed.

• Assists with special projects; does research, and other duties as assigned by the Director of Finance.
