The Facilities and Fleet Coordinator will be responsible for the coordination of all ImOn facilities, including the office, warehouse and hub locations across all markets, as well as the management of all Company owned or leased vehicles.

The Facilities and Fleet Coordinator will work with vendors, contractors, employees, and higher-level executives, all with the goal of ensuring that the physical assets and operations of the company be maintained.

Essential Job Responsibilities for Primary Functional Area of Accountability


  • Provide recommendations for procurement of new facilities/equipment as needed whether by purchase or lease
  • Coordinate relationships with all building owners, contractors and vendors
  • Coordinate relationships for all hub leases, including execution of renewals and working through any issues which may arise
  • Plan and coordinate all maintenance, installations and refurbishments of facilities/equipment (such as performing maintenance on furnace or installing security system)
  • Arrange and coordinate office/warehouse needs such as moving of cubicles, purchasing of office equipment or managing parking space allocation
  • Routinely inspect ImOn facilities to ensure appropriate health and safety standards are met
  • Monitor utility consumption and spend levels
  • Proactive budgeting and forecasting of all facility related costs/spend
  •  Processing of facility insurance claims as necessary


  • Provide recommendations for procurement of fleet vehicles whether by purchase or lease
  • Determination of most efficient makes, models and vehicle accessories needed
  • Registering, licensing and insuring of fleet vehicles
  • Manage fleet software, including monitoring and reporting on driver activity
  • Management of fuel and wash cards, including monitoring and reporting on spend levels
  • Management of the company’s vehicle inspection program, including monitoring and reporting on adherence to program
  • Oversight of repair and maintenance on fleet vehicles, including scheduling of proactive maintenance and providing recommendations on when to repair versus retire vehicles
  • Development of fleet replacement program/schedule
  • Ensuring compliance with all Federal, State and City laws and regulations regarding vehicles and transportation
  • Analyzing and reporting on fleet data to ensure maximum return on investment
  • Proactive budgeting and forecasting of all vehicle related costs/spend
  • Processing of vehicle insurance claims as necessary
  • All other duties as assigned
Required Knowledge and Abilities
  • Outstanding organizational skills
  • High attention to detail and critical thinking mindset
  • Exceptional collaboration skills and ability to work with different types of employees
  • Knowledge of basic finance principles and ability to perform cost/benefit analyses to support recommendations
  • Excellent verbal and written communication skills
Required Experience, Training, and Special Qualifications
  • Proven experience as facilities and fleet manager or relevant position
  • Knowledgeable about technical/engineering operations and facilities management best practices
  • Knowledgeable about fleet vehicles and fleet management best practices
  • BS/BA in facility Business Administration, Logistics, Management, Engineering or relevant field
  • Relevant professional qualification (e.g. Certified Facilities Manager or Certified Automotive Fleet Manager) preferred
