The College of Nursing seeks an Academic Services Specialist for Graduate Programs. This position will lead all aspects of the MSN-entry into practice and PhD programs and may assist with the recruitment, admissions, and retention of prospective and current graduate students for the various other graduate programs.

Responsibilities will require occasional time outside of the 8:00 am – 5:00 pm workday to support student recruitment, activities, and events including overnight travel.

Key Areas of Responsibility

Recruit, Admit and Retain Prospective and Current Students for Programs, Major Departments or Colleges

  • Plan, organize, and implement student recruitment, orientation, and graduation events.
  • Lead recruitment events representing the College of Nursing (both local and national) to answer inquiries for all graduate programs, responsible for all logistics.
  • Advise prospective students regarding admission.
  • Manage admissions processes to include but not limited to creating and managing admissions logs, contacting/advising applicants on their application.
  • Respond thoughtfully and respectfully to prospective students inquiring about College of Nursing Graduate Programs.
  • Advise new admits regarding their registration and plan of study.
  • Evaluate transcripts specifically for the Master of Science in Nursing (MSN) entry into practice and PhD program.
  • Serve as the liaison and maintain effective working relationships with public and private agencies, program participants, and other UI units as well as faculty, staff, and students for the graduate programs.
  • Assist graduate programs with meeting graduation requirements for students.
  • Complete verification document forms
  • Authorize graduate program students to register.

Enrollment Management

  • Coordinate admissions and progression activities for the Master of Science in Nursing (MSN) entry into practice and PhD program and assist as needed with others including gathering and synthesizing data, facilitating communication about admissions to deans and directors, maintaining comprehensive knowledge of tracking requirements, and assuring that program details move seamlessly to enrollment management systems.
  • Collect, enter, download, and analyze enrollment data. Create and maintain databases, tables, and spreadsheets in order to create reports.
  • Process graduate program evaluation information as directed.
  • Disseminate letters of admission for graduate students.
  • Develop and revise recruiting information both hardcopy and electronic in conjunction with the Office of Communication and Marketing.
  • Evaluate requests and exercise discretion and judgment in providing confidential information to appropriate parties.
  • Compose admission data of graduate students and collaborate with others to upload to Power BI.
  • Coordinate with the badging office by scheduling appointments for graduate program orientation.

Academic Standards and Curricular Policies

  • Create plans of study for each new cohort of graduate program students in Power BI.
  • Utilize MAUI database and Power BI database to mass upload special permission codes for graduate students who enroll in restricted courses every semester.
  • Utilize Power BI database for course projections and provide reports to faculty.
  • Recommend revisions to policies and procedures.
  • Evaluate and review policies, identify challenges, and propose suggestions.
  • Update and incorporate policy and procedures changes into internal and external documents.
  • Assist graduate programs in graduate student defenses by collecting, documenting, and monitoring relevant data (i.e. application for degree) and submitting information to the Graduate College.

Academic Program Management (Planning, Designing, Integrating, and Evaluating Curriculum)

  • Develop materials to meet program goals.

Budget Oversight and Management

  • Maintain a Procurement card according to University policies and procedures.
  • Participate in budget planning as needed.

Operational Support and Management

  • Serve as a liaison to program committees such as college forums and councils.
  • Create meeting agendas as well as compose and disseminate committee meeting minutes as needed.

Information Management

  • Initiate requests for marketing materials in support of program operations.
  • Collaborate with staff in College of Nursing Marketing and Communications team and Information Technology to facilitate movement of student information and updates to the website and digital signage.

Strategic Planning

  • Participate in strategic planning for the general operation of student services and the college in areas that intersect with student services and the programs that staff administer.

Required Qualifications:

  • Bachelor's degree or an equivalent combination of education and experience is required.
  • Typically, one year or more experience in program management or secondary education or higher education.
  • Strong written and verbal communication skills, and interpersonal skills; demonstrated by the ability to effectively transmit, receive, and accurately interpret ideas, information, and needs through appropriate communication methods and behaviors to provide excellent customer service and maintain working relationships.
  • Proficiency working with social media.
  • Demonstrated ability to work independently and as a team member to accomplish goals.
  • Demonstrated ability to interact positively with a diverse population.
  • Working knowledge and ability to use tools such as Microsoft Office suite (Outlook, Word, Excel, PowerPoint) and internet search tools.
  • Strong attention to detail and the ability to meet tight deadlines.
  • Valid drivers’ license and ability to meet and maintain UI Fleet Safety Standards

Desired Qualifications:

  • Knowledge of University of Iowa policies and procedures.
  • Experience working in an academic institution.
  • Experience with coordinating and organizing events.
  • Typically, one year or more of experience in student advising.
