The University of Iowa College of Nursing is seeking applications for the fulltime Assistant to the College of Nursing Dean to provide administrative support to the College of Nursing Dean and lead the operations of the Dean’s Office. The Assistant to the College of Nursing Dean serves as a member of the College’s Executive Leadership team; Utilizes exceptional interpersonal skills and abilities to interact with internal and external constituents to facilitate a positive, efficient work environment; Exercises a high degree of independent judgment, confidentiality and attention to detail.

Characteristic responsibilities include:
Operational Support and Management 

•    Coordinates the Dean’s schedule, exercising exceptional judgment in prioritizing appointments, determining the priority needs of internal and external constituents, and maintaining calendar activities.
•    Leads the preparation of required events for the dean. This can include background research, preparation of remarks, coordinating travel, organizing food and beverage and assisting with other needs as determined by the dean. 
•    Serves as a member of the dean’s Executive Leadership team.
•    Develops communication templates/materials for the dean to utilize in completing reports, letters, and nominations. Maintains records for the dean’s documents and correspondence.
•    Manages the dean’s work products, including keeping track of due dates and facilitating completion.
•    Attends collegiate leadership meetings to represent the Dean’s office and facilitate communication (e.g. monthly meeting with University of Iowa Center for Advancement). Provides administrative support (prepare agendas, record minutes and follow up on implementation of action items) for the Strategic leadership meeting and the Faculty organization meeting.
•    Organizes materials needed by the dean in advance of scheduled meetings. 
•    Coordinates and maintains the College of Nursing online operations manual.
•    Serves as the liaison from the dean’s office to the Provost Office, University Human Resources, University Business Office, Office of Strategic Communication, and the UI Center for Advancement.
•    Coordinates special initiatives as assigned by the dean in response to specific institutional, governmental or professional requirements.
•    Provides administrative support (identify and coordinate appropriate facilities, services, speakers and public relations) for special events hosted by the College.
•    Schedules work and assigns priorities for the dean’s secretary. Performs supervisory functions such as recruitment, training, scheduling, performance evaluation, and problem resolution.
•    Oversees and coordinates the procedures for Faculty Promotion, Tenure, Reappointment and Post-tenure reviews.
•    Maintains records of annual faculty administrative reviews.
•    Maintains reports of faculty post-tenure allocation. 
•    Maintains up-to-date record tracking of faculty appointments and effort allocation. 
•    Requires occasional attendance at meetings, functions or events outside of normal working hours.

Financial Responsibilities
•    Serves as the ‘Account Reviewer’ for Dean’s Office financial accounts including monitoring accounts/expenditures, management of irregularities and preparation of recommendations for corrective action. 
•    Assists in departmental budget preparation and control. 

Strategic Planning
•    Facilitates the development of the College strategic plan and monitors the progress of the plan.
          o    Assists with research to support preparation of collegiate strategic plan.
          o    Tracks progress toward achieving the college’s strategic plan outcomes.
          o    Prepares reports and communication with regard to the strategic plan.

Information Management
•    Acts as confidential Assistant to the Dean, serve as primary point person for the Dean’s phone line, communicating with contacts inside and outside the College, referring calls to appropriate individual or area as appropriate.
•    Opens, sorts and prioritizes the dean’s e-mail and USPS mail. Handles confidential materials with discretion.
Communication Management
•    Composes original documents that may require initial background research on health care issues or workforce needs. Conducts literature searches on specific topics as directed by the dean. 
•    Prepares final version of correspondence and other documents, including proofreading drafts and finalizing formatting.
•    Prepares remarks, talking points and PowerPoint presentations for internal and external speaking events as requested by the dean. Works with appropriate support staff to verify accuracy of presentation content. Ensures the message is consistent with dean’s voice and vision.
•    Writes and/or edits op-ed/persuasive position/compelling articles and reports for press releases, newspaper editorials and related media venues.
•    Maintains effective working relationships with faculty, staff, students and the public.

Required Qualifications
Educational Requirement:

•    A Bachelor’s degree in Business Administration or a related field. Master’s degree preparation is preferred in Business Administration or related field.

Required Experience:
•    Experience (3-5 years) in an administrative capacity, including problem solving, team building, supervising and managing an executive-level calendar.
•    Demonstrated accuracy in working with complex projects.
•    Extensive experience and proficiency in computer software applications, including Microsoft Word, Outlook, Excel, PowerPoint, Adobe Acrobat Professional.
•    Experience in project management.
•    Ability to work independently and set and execute work priorities.
•    Demonstrated excellent written and verbal communication skills, including ability to compose grammatically correct documents in a concise, logical and organized manner.

Desirable Experience:
•    Previous high-level administrative support experience (i.e., support staff to collegiate dean or associate dean).
•    Knowledge of and experience with University of Iowa policies and procedures as well as online purchasing, travel, financial, and human resource systems.
•    Demonstrated effectiveness in working with diverse people in a variety of situations in a team environment.
