The John Pappajohn Entrepreneurial Center at the University of Iowa (Iowa JPEC) seeks a Constituent Relations Specialist to join its team. As the Constituent Relations Specialist, this role is responsible for: Database Management: works closely with Iowa JPEC faculty/staff, college, university, and Center for Advancement staff to maintain the integrity of Iowa JPEC alumni, program participants, and friends information. This position is responsible for the implementation of a pro-active reminder system and tracking of major activities of these individuals/ participants.

The role directs the implementation of Iowa JPEC’s alumni/student mentor program and student corporate visits. Provides reports to Iowa JPEC leadership for appropriate follow-up; Coordinates Iowa JPEC Advisory Council meetings and associated events; works closely with university partners to coordinate regular communications with key alumni; and identifies opportuniti es for Iowa JPEC leadership to attend important university and community-based events. Directs collection and reporting of data of graduating seniors, program participants, and alumni for inclusion in annual reports, external surveys, and Iowa JPEC and university publications.

Message Development and Implementation

  • Coordinate efforts in the development of promotional materials for alumni/student mentor program and visits/treks.
  • Provide input to Iowa JPEC, College and University partners for content to be included in newsletters, e-news, social media, annual reports, and other publications.
  • Advisory Council - Responsible for planning meetings and communicating with council, staff, faculty, students, and local entrepreneurial community.

Public Relations

  • Ensure appropriate follow-up communications are completed in order to maintain relationships with key alumni and friends
  • Coordinate bi-annual Iowa JPEC Advisory Council meetings and events
  • Collaborate with college and university alumni relations and Center for Advancement staff to coordinate Iowa JPEC participation in professional/networking events, company visits, and general communications.
  • Alumni Relations - Responsible for identifying and reaching out to alumni to plan and schedule visits to campus to speak, host, or attend events. Keep track of information about their experience and follow up with them.
  • Plan student visits to alumni businesses
  • Conceiving, planning, and executing multiple regional alumni events in Chicago, Des Moines, and California.
  • Identifying and engaging alumni in additional Iowa JPEC events and expanding alumni engagement efforts to connect with them more frequently (i.e. new LinkedIn page and stories, sending birthday and congratulatory notes and cards).

Information Management

  • Conduct graduating students exit survey and provide results to Iowa JPEC leadership and other university constituents as requested.
  • Prepare responses to external surveys and information requests to ensure accurate tracking and reporting of program participation and impact data.
  • Alumni Database - Collect data on students as they graduate with an Iowa JPEC degree or certificate. Collect and maintain data on alumni through database tools. Use the data collected for the development of mailing lists and event invitations, updating university systems, and reporting on center's success (Princeton Review and Impact Report).

Strategic Planning

  • Provide strategic input to Iowa JPEC leadership in support of program goals and objectives as needed.
  • Alumni Mentoring Program - Identifying and recruiting mentors and students to be part of the mentoring program. Work to create training materials and communicating steps with mentors and students. Track and report the success of programs and creating promotional materials for programs.
  • Assist with the incorporation of the mentoring program into the entrepreneurship course curriculum.
  • Present in class and further communicate program benefits to students and create additional surveys to get feedback on the program and changes to incorporate.
  • Develop ways to track information in databases. Identify mentor relationships to profile in marketing communication platforms, LinkedIn, and with potential donors.

Financial Responsibility

  • Work with vendors and potential external sponsors to identify the most cost-effective methods for covering costs associated with Iowa JPEC Advisory Council, alumni, and community-based events.
  • Provide input for alumni/student mentoring program and student visits/treks budgets, monitor expenditures and reconcile statements as needed.
  • Ensure high-level financial reporting is prepared for Iowa JPEC Advisory Council meetings.
  • Track Iowa JPEC Center for Advancement accounts, ensuring donor intents are honored and any needed donor reports are created.

Leadership/Supervision

  • May provide functional and administrative supervision of student interns, including providing direction, assignments, feedback, and coaching to assure program outcomes are met.

Required Qualifications

  • Bachelors degree in business, marketing, communications or a related field, or combination of education and professional work experience.
  • Typically one year or more of program management experience and knowledge of event planning and execution
  • Experience in an academic and fundraising setting
  • Excellent written and organizational skills.
  • Professional communication skills with demonstrated ability to represent Iowa JPEC at professional networking and alumni events.
  • Expert knowledge of all Microsoft Office Suite
  • Demonstrated ability to work effectively in a team and to complete projects in a timely manner
  • Ability to travel overnight, work occasional evenings and weekends as necessary for special projects or events and attend regional and nati onal events as required.
  • Valid driver’s license and ability to meet and maintain UI Fleet Safety driving requirements.
  • Demonstrated ability to interact positively with a diverse population.

Desired Qualifications

  • Typically, 2 – 4 years successful program management experience.
  • Demonstrated experience in implementing, managing and administering CRM systems
  • Working knowledge of University of Iowa policies, procedures, and systems
