General Description:
The Project Coordinator (PC) position requires a minimum of 3 years on-site construction PC experience.  A Construction Engineering Degree is preferred.

The Project Coordinator (PC) position provides overall project support for the FQPT Project Team and project delivery process. The PC role is a key function for all office and field related project activities and will work with Project Managers, Process Engineers and Construction Teams to ensure seamless communication and project support for the project team members.

The PC must comprehend and support all phases of the project delivery process and construction activities. The PC must have the capability to accurately, promptly and professionally meet schedule and deliverable requirements as directed by the PM and project Process Engineer. The PC will support other FQPT Project Team members, external engineering disciplines, vendors/suppliers and contractors during all aspects of the project as needed by the PM to improve the efficiency and reliability of project execution.

Additionally, the PC must raise and take the necessary initiative with Project Team members to mitigate various project constraints. The PC must also effectively execute coordination and communications with the project team to assure schedule targets and assigned deliverables are completed in a timely manner.

The PC must have proven abilities and skills in communications, seeking out support for the team, business acumen, organization, planning, problem solving and high standards. Successful candidate must set standards of excellence in quality and productivity.

Role and Responsibilities:

The role of the PC requires that the PM, Process Engineer, 3rd party Engineers and Site Engineers are informed of PC deliverables to ensure the overall project remains on track. The PC will work directly with other process engineering team members to ensure work is accurate, detailed and timely to ensure all client delivery dates are met or exceeded. The PC must be able to work in a matrix organization where working with and through others to achieve the project goals.

Key roles, responsibilities and skills include the following:
  • Receives, assembles and transmits design document packages to clients and other engineering firms as well as records and distributes shop drawings from manufacturers and fabricators and drawing submittals from contractors
  • Creates project folders at the outset of a project. Assure proper filing in folders.
  • Maintains project related data and document filing system, especially on project specific folders and ftp site
  • Updates engineering and procurement schedules with current commitment dates
  • Works to maintain the schedule commitments by working with engineering teams and equipment suppliers
  • Supports procurement activities, including tracking, expediting, and receipt verification at construction sites
  • Creates bid list, e-mail bid invitation, make follow-up calls to bidders, and prepare bid label and/or bid form.
  • Assures document control (i.e. project proposals, contracts, change orders, budget, financial and monthly reporting, etc.) are included and properly filed in the project folder. Maintains an updated Project Access database
  • Creates project information sheet and distribute to PM and project team
  • Manages job trailer setup, maintenance, and de-commissioning for all utilities, services, and IT needs
  • Drafts subcontracts, purchase orders, and change orders to subcontractors.
  • Hardcopy document control including scanning, copying, and printing for Site Team
  • Obtains quotes for items specified on plans as directed by the PM and Process Engineer
  • Compiles Operator & Maintenance manuals with warranty information. Duplicate the binder FQPT files. (Request operational and maintenance information plus as-builts from subs/suppliers)
  • Creates project list that includes warranty dates
  • Maintains log of job site phone numbers
  • Prepares/creates request for proposal booklets
  • Manages site pictures
Specific Professional Skills Required:
  • Highly proficient in a project management and project execution environment
  • Strong attention to details and accuracy
  • Excellent communicator with internal, external consultants and suppliers
  • Maintains a high level of professionalism, productivity and effectiveness even during challenging situations with internal and external clients, vendors and contractors
  • Highly proficient in Excel and MS Schedule
  • Demonstrates the ability to make decisions and take appropriate actions to resolve issues
  • Ability to hold him/herself fully accountable for performance measurements and adjust work flow within and the team as needed
  • Takes pride in QA/QC procedures
  • Must be prepared to work evenings and weekends on occasion to meet project schedule deadlines
Additional Requirements:

Travel: 100% travel at times to project sites

Location: Cedar Rapids, Iowa Office

Education: Construction Engineering degree preferred or 2 year degree with relevant experience

Compensation: Commensurate with experience
