The University of Iowa is seeking an Admin Services Specialist. This position serves as a public presence in the office for vendors and maintenance, serves as quartermaster, manages evidence, maintains key records, assists with reconciliations, as well as some budgeting and charge-back operations. This position will also respond to incoming requests by phone and email involving recurring contact with administrators and executives such as deans, directors, department heads, public and private officials, and obtaining and providing factual information requiring interpretation of university policies and procedures. The Admin Services Specialist will take the lead in procurement for law enforcement and security related equipment and maintain the functioning of the campus safety facilities.

This position is performed fully on campus.

Duties to Include:

  • Review department operations and consider methods to improve operational and financial efficiency department wide.
  • Place orders for Campus Safety and monitor the purchases for compliance in accordance with purchasing policies.
  • Obtain and provide factual information requiring interpretation of university policies and procedures of both the assigned and related work areas.
  • Responds to or triages incoming departmental requests by phone and email involving recurring contact with administrators and executives such as dean, directors, department heads and public and private officials.

Location: UCC – Campus Safety

Schedule: Monday through Friday, 8:00am-4:30pm

Salary: $44,922 to commensurate

Campus Safety is committed to creating a safe and welcoming community for all students, faculty, staff, and visitors. Our team works hard to engage with students and employees through outreach events, educational programs, safety planning and support, and as part of their daily work. The organization is led by the Assistant Vice President for Campus Safety and includes eight departments that are committed to all facets of campus safety. These departments include the UI Police Department, Security Services, Emergency Management, the Threat Assessment Team, Security Engineering Services, the Office of Clery Compliance, Emergency Communications, and F ire Safety.

Required Qualifications:

  • Bachelor’s degree or an equivalent combination of education and experience.
  • Experience (typically 1 year) in an administrative role in a complex organization.
  • Basic accounting knowledge
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office applications including Word, Excel, Outlook, and PowerPoint.
  • Ability to follow up and multi-task with minimal supervision and be highly responsive in a deadline-oriented environment.
  • Ability to work and communicate effectively with faculty, staff, students, administrators and executives such as dean, directors, department heads and public and private officials.
  • Experience with handling sensitive information and maintain confidentiality.

Special Qualifications:

  • A valid driver’s license is required, as well as an ability to meet and maintain University of Iowa Driving Policy.

Desired Qualifications:

  • Beyond 1 year of experience in an administrative role in a complex organization.
  • Planning, organizing, and implementing events.
  • Working knowledge of relational database systems.
  • Knowledge of or experience with criminal law in addition to knowledge of public safety operations.
  • Experience with financial transactions and systems.
  • Experience in police evidence controls and processes.
  • Knowledge and experience with police vehicle equipment and uniform equipment including firearms\weapons.
