Summary:

This is not a Linn County position. This position is contracted through the Civil Service Commission. Responsible for performing administrative duties of the Civil Service Commission in accordance with Iowa Code 341A, including conducting entrance and promotional examinations for various deputy sheriff classifications within Linn County Sheriff’s Office. Performs clerical work including the use of the computer keyboard, spreadsheet, and word processing program. Some in-depth clerical responsibilities may be required. Receives calls and disseminates pertinent information or refers individuals to appropriate agency.

Main Essential Duties:

  • Provides administrative support by preparing agendas, attending meetings, taking minutes, composing correspondence, posting public notes, and keeping accurate records.
  • Preserves all records of the commission, including reports, notices, personnel files, and examination results
  • Maintains confidentiality of applicant and employee personal information
  • Coordinates activities and notice requirements for entrance exams and promotional exams
  • Collects and analyzes data, prepares reports as necessary to support assignments as directed by the Civil Service Commission
  • Maintains Civil Service Commission Rules and Regulations and makes revisions upon approval 
  • May transcribe from a Dictaphone, letters, memoranda, reports, and other materials
  • Greets public or other County employees and answers general questions
  • Answers telephone, and records the identification of callers and their messages; delivers oral and written messages; receives mail, opens, and distributes to appropriate sections
  • Labels office files and files correspondence and documents according to established system
  • Prepares vouchers, requisitions, purchase forms, etc. and maintains records of supplies and monies received and disbursed
  • Processes and enters invoices to be paid
  • May be required to notarize legal documents
  • Performs all other duties as assigned

Minimum Qualifications:

  • High school diploma or equivalent required
  • One (1) to three (3) years of experience in a related field required

Knowledges, Skills & Abilities

  • Knowledge of County office methods and procedures, business English, spelling, arithmetic, and spreadsheet programs
  • Knowledge of the Iowa Code and Linn County Civil Service Commission Rules
  • Ability to make minor decisions in accordance with laws, ordinances, regulations, and to apply Civil Service Rules to everyday work procedures
  • Ability to make arithmetic calculations with speed and accuracy
  • Ability to operate standard office equipment, including a computer
  • Ability to maintain clerical records and prepares reports from such records
  • Ability to communicate effectively with the general public
  • Ability to remain flexible and handle multiple tasks.

Hourly Wage: $16.36/hour

Hours: Up to 12 hours per week
