Position Summary

We are looking for an Executive Assistant to support members of our executive team. To do this role properly, you should have a detailed understanding of the full Microsoft Office suite, be extremely fast at solving problems, and have past experience as an Executive or Administrative Assistant. The Executive Assistant will manage the calendar, travel arrangements, and communication for our CEO and other members of the Executive Team. Our ideal candidate will be a strategic partner that enjoys working at a fast pace, is flexible, and is not easily flustered, enabling the executive leaders to focus on the most important topics, removing distractions and roadblocks.

To be most successful, the Executive Assistant must be able to work on-site as needed in our headquarters near Iowa City, IA.

Primary Duties and Responsibilities

  • Owning, scheduling, and coordinating the CEO, and other members of the Executive Team’s schedules, acting as a gatekeeper when needed.
  • Acting as the point of contact among executives, employees, clients, and other external partners
  • Write, copy, and edit any kind of document, including agendas, memos, and letters - may include the ability to do dictation. 
  • Managing information flow in a timely and accurate manner
  • Create recurring or ad hoc presentations with leadership using content from a variety of sources
  • Book and organize any travel arrangements for the ProCircular team
  • Assist with preparation for office functions, meetings, client events, and luncheons
  • Maintain strict confidentiality and protect confidential executive, business, and technology information
  • Research current topics and organize information to enable executive decision making
  • Anticipate, identify, and address the needs of senior managers
  • Uphold the values of ProCircular and abide by the Company handbook.

Required Skills and Experience:

  • 3-5 years of demonstrated experience in an executive assistant role with similar responsibilities
  • Strong computer skills –Word, Excel, PowerPoint, Outlook
  • A high degree of professionalism and business acumen
  • Ability to be proactive and anticipate business needs
  • Excellent time management skills and ability to multi-task and prioritize work
  • Discretion and confidentiality – we work in a sensitive field, and keeping secrets is important to our clients
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Copy editing for grammar, tone, and message. 
  • Ideally, accreditation from a local administration/manager program – Kirkwood, etc.
  • Solid references from a former employer or workplace
  • Must pass a background check – we are about InfoSec. It’s important that your record is clean

Language Requirements:

The primary language of ProCircular is English. Excellent communication skills are required, defined as the ability to:

  • Actively listen for total comprehension
  • Ask questions that enhance the understanding of a certain topic
  • Relay information and/or instruction in a descriptive and understandable fashion in both written and verbal format


Reasoning Ability Requirements:

High-functioning, reasoning abilities are necessary to meet deadlines, prioritize company and customer needs, and work in a high-functioning collaborative team environment.

Travel Requirements:

Valid driver’s license is required for occasional travel.
