The Office of the General Counsel at the University of Iowa is seeking an Administrative Assistant. In this position you will serve as the primary point of contact and receptionist for all visitors and constituent groups entering or contacting the office; coordinate and perform administrative support activities for the office including daily operations and maintenance of the office; take direction from the attorneys, paralegal and administrative services specialist; work with multiple projects simultaneously; maintain confidentiality and professionalism; exercise discretion and independent judgment with respect to matters of significance; prepare and disseminate confidential documents and correspondence; assist in the preparation of periodic and special reports; assist in the preparation and analysis of i nformation needed for operating budgets and departmental financial reports; collect and maintain data as requested; support communication initiatives and outreach activities; and coordinate and administer projects as assigned.

Job duties will include, but are not limited to: 

  • Support the daily operations of the office including knowledge and application of policies and procedures. 
  • Provide primary office coverage during standard office hours in coordination with other support staff. 
  • Perform intake responsibilities including management of the OGC e-mail inbox and main phone line. 
  • Maintain subscriptions, memberships, and recording of CLE reporting and maintenance for office attorneys. 
  • Assist in coordination of litigation with the Iowa Attorney General's Office and outside counsel. 
  • Provide assistance with scheduling during searches, as well as other administrative support as requested. 
  • Initiate purchasing requests for supplies and equipment. 
  • Maintain confidentiality of all OGC work, as well as professionalism with regard to all information management. 
  • Maintain client, litigation, and project files (electronic and occasionally paper), and assist with document retention and purge requirements. 
  • Prepare, edit, proofread, and administer correspondence. 
  • Serve as liaison to faculty, staff, students, alumni and public.

Education Required 

  • Bachelor's degree in a related field, or an equivalent combination of education and experience. 

Required Qualifications 

  • Typically, three to five years of experience in performing office administration tasks effectively and efficiently in support of executive level individuals and/or teams. 
  • Demonstrated ability to organize and manage multiple complex projects simultaneously to successful conclusion 
  • Ability to maintain strict confidentiality. 
  • Excellent written and oral communication skills. 
  • Demonstrated ability to develop and strengthen working relationships with diverse populations through positive interaction and collaboration. 
  • Demonstrated ability to work independently and as a team member to accomplish goals. 
  • Proficient in Microsoft Office software systems. 
  • High degree of attention to detail.

  • Knowledge of university policies, procedures, and regulations.
