Executive Assistant to the Founder / CEO

Collective Data is seeking an Executive Assistant to support their Founder/CEO. This Executive Assistant will be the "right hand person" to the Founder/CEO and will need to be sharp, organized, and thorough. In this role, the Executive Assistant will help support business development, sales, growth, strategy, recruiting operations, partnerships and more, all while ensuring the company is on-path with the Founder/CEO's roadmap. This person will work directly with Founder/CEO, making sure all projects, tasks, meetings, documents, correspondence, and anything that needs action are well attended to.


  • Manage and maintain a complex calendar while utilizing and protecting the Founder/CEO's time.
  • Manage and maintain the Founder/CEO’s inbox, including most if not all correspondences.
  • Process confidential and critical information on a routine basis with complete discretion.
  • Make decisions and provide guidance on behalf of the Founder/CEO where appropriate.
  • Help prepare and gather information for internal and external presentations.
  • Assist in all aspects of coordinating internal and external meetings, communications, events, and other projects as needed. Ensure appropriate follow-up.
  • Participate in meetings with the Founder/CEO to capture notes and action items. Follow up to ensure action items get completed.
  • Coordinate travel arrangements for the Founder/CEO, including flights and accommodations.
  • Work independently as well as collaborative with other members of the team for various projects, assignments, and activities including occasional office management and general administrative support.
  • Help identify corporate opportunities to improve, such as making sure we have adequate job descriptions, career paths and opportunities for growth.

Knowledge Skills and Abilities:

  • Strong interpersonal skills with the ability to learn and anticipate the needs of the Founder/CEO.
  • Excellent analytical and technical skills requiring an aptitude for detail and accuracy.
  • Ability to anticipate issues, take ownership, and provide solutions.
  • Strong calendar management skills, including coordination among multiple schedules.
  • Ability to handle sensitive or confidential information discreetly.
  • Ability to communicate clearly and concisely, both verbally and in writing.
  • Exhibit a high degree of initiative in managing and prioritizing multiple projects simultaneously.
  • Complete both high-level and low-level tasks with little to no supervision.
  • High proficiency with Microsoft Office including Outlook, Word, Excel, and PowerPoint.

Required Experience:

  • 4+ years of related education / experience
  • Discretion handling confidential and sensitive information
  • Excellent written and verbal communication skills
  • Excellent attention to detail
  • Excellent organization skills
  • Ability to work in office
