Administration - Executive Admin Assistant

GreatAmerica Financial Services Corporation

Provides support to executive leadership, relieving them of as much day-to-day administrative duties as possible. Responsible for handling confidential and time sensitive information working with both internal and external personnel.  Duties require excellent knowledge of GreatAmerica, and diplomacy and judgment in dealing with a wide range of situations.  Position requires the ability to anticipate problems, initiate appropriate action, and administer confidential information with discretion.

Essential Functions

General:

  • Performs administrative duties requiring considerable judgment, initiative, and knowledge of GreatAmerica Financial Services.
  • Visitor/Meeting management – maintain and coordinate attendee registrations, AV needs, catering, attendee materials and other specific event items as identified.
  • Prepare expense reports for leadership members and approve team member expense reports for business unit(s).
  • Performs other duties as required.
  • As a member of the administrative team, provides support to all areas of the company as necessary.
  • Lives the GreatAmerica principles; involved in cross-functional team efforts as assigned and required.

Enterprise IT/Operations:

  • Schedule appointments, determining priorities and maintaining executive calendars including CDO/COO, CIO, and Vice President of Systems.
  • Maintains Insight page for Systems Business Unit.
  • Assist in information gathering for strategic planning sessions.
  • Leads planning efforts for Systems Business Unit events.  (Team outings, staff appreciation events, etc.)
  • Organize staff meetings and quarterly BU meetings.  May require PowerPoint development.
  • Lead routing of EIT invoices for accuracy and approval and working with accounting for timely payment.
  • Key liaison between EIT and GreatAmerica Experience team; possibly being Team Champion.
  • Key point of contact for logistics for our strategic integrator with our digital transformation efforts.
  • Participate in advisory of GreatAmerica collaboration tools such as Teams, SharePoint, Outlook, audio/video, etc. with the Systems Business Unit.

Education:  Minimum of Associates Degree.

Experience: Minimum of 5 years of administrative experience.

Skills and Abilities

Computer Skills: 

  • Proficient in all Microsoft Office products, Adobe products, and SalesForce. 
  • Must be able to understand computer systems and possess basic understanding of reporting systems.
  • Extreme proficiency in PowerPoint and Excel.          

Other Requirements: 

  • Position requires administering company sensitive/confidential and proprietary information with the utmost discretion and attention to detail.
  • Ability to effectively and diplomatically verbally communicate and in writing is required. 
  • Must be able to establish and maintain professional working relationships with all levels of GreatAmerica personnel and external contacts.
  • Requires extensive knowledge, utilization, and proficiency in a variety of software packages.
