Executive Administrative Assistant

Kinseth Hotel Corp., a growing hotel & restaurant management co. is currently looking for an Administrative Assistant to work in our corporate office located in North Liberty, IA. 


Job Duties include:

  1. Provide support to the Owners/Officers and Director of Finance.
  2. Managing checks for franchises/construction – keep daily logs of checks held, report and log checks being mailed.  Provide backup for receptionist on all other “check runs/mailings”.
  3. Credit Card Administration – responsible for full administration of all company credit cards (setting up new cardholders, managing credit card limits, cancellation of cards, reporting disputes/fraud).  Includes processing of monthly statements for Owner, receipts and reporting to accounting.
  4. Processing credit applications/vendor applications. 
  5. Managing vehicle fleet – reporting additions/deletions of vehicle to insurance company.  Year end audit of vehicle fleet (mileage, location, drivers)
  6. Assist Ex Adm with reporting of guest claims and follow up.
  7. Manage W-9 files – yearly updates, providing document request from all vendor requests, log all requests, ensure accuracy and additions/deletions.
  8. Support Ex Adm with processing of tax returns –
    1. Ensure all required documentation on “new” entities provided to CPA
    2. Update and ensure accuracy of owners (% ownership, tax ID’s, updated addresses), upload investor lists for year-end data to share with CPA and accts.
    3. Timely K-1 mailing for each return.
    4. Filing of all returns (both electronic & hard copies)
    5. Respond timely to K-1 requests (sending to CPA’s, lost K-1’s, etc.)
  9. Support Ex Adm with processing of all loan documents (securing signatures, ensure documents are sent back to lenders timely, upload completed documents for our files)
  10. Support Ex Adm with processing of all documentation required for managing of hotel properties (making binders for entity documents, uploading documents for ease of sharing amongst owners)
  11. Assist Ex Adm with investor communication and documentation (stock certificate transfer and purchases, owner changes, etc.)
  12. Required to respond timely and accurately to all e-mail requests, as providing support to whole Kinseth organization.
  13. Phone coverage – backup to receptionist.
  14. Processing daily mail/UPS – backup to receptionist, ensuring mail is distributed timely and responded to as needed.

SKILLS needed:

  • Software abilities (word & excel)
  • Excellent verbal and written communication.
  • Excels at time management
  • Accuracy and completeness required
  • Basic level understanding of financial, banking, and legal reporting
  • TEAM player/positive attitude
