Senior Account Administrator

CIVCO Medical Solutions

Reporting to the Controller, this position is responsible for administering deposits and reconciling payments, monitoring outstanding balances and collection efforts, maintaining and preparing reports and assisting with other ad hoc projects. This position will work closely with Finance/Accounting, Customer Services, Sales and Human Resources.

Key Responsibilities

  • Process payments using cash application system and post payment batches in the accounting system
  • Work with various customer portals to submit invoices and retrieve payment information
  • Review and analyze aging report to initiate collection efforts
  • Conduct account research to resolve accounts receivable issues with customers
  • Perform daily reconciliation between bank and cash application system
  • Provide weekly updates to management on outstanding balances, collection efforts and potential risk
  • Make recommendations regarding credit limits for customer accounts
  • Review credit holds and release sales orders when credit has been approved
  • Make daily collection calls and record all collection activity in database
  • Develop and maintain process for customer sales tax exemption certificates
  • Maintain files and documentation thoroughly and accurately in accordance with company policy and accepted accounting practices
  • Provide assistance on other special projects as needed

Education and/or Experience

High School diploma required. Minimum of and 3-5 years of accounts receivable experience or related experience and/or training; or equivalent combination of education and experience. Associates degree in Accounting preferred.

  • Proficient in Microsoft Office (Outlook, Excel, Word, PowerPoint, Teams)
  • Regular, predictable attendance is required
  • Must be able to work more than 40 hours per week (overtime)
