Data Project Specialist, Heritage Area of Aging

Under supervision of the Quality & Outcomes Senior Manager, the Data Project Specialist will work in a team environment to support the administrative functions of Heritage Area Agency on Aging.  This position will assist in reporting and compliance through data entry and document management by performing moderately difficult clerical tasks.  Many job duties will interface with sensitive and confidential information that must be handled according to specific procedures.    This individual must be able to communicate well, work effectively as a team member, prioritize tasks and independently solve problems.  This individual must also be positive, compassionate, adaptable, and helpful under pressure.

  • Assist in month-end close processing by checking in provider reports.
  • Complete data entry and reporting for a variety of programs.
  • Send monthly rosters to subcontractors.
  • Ensure timely receipting of accounts receivable in excel tracking spreadsheet.
  • Maintain subcontractor contract information in database.
  • Maintain record keeping system and information systems for the program.
  • Implement or participate in quality assurance activities for the agency. 
  • Monitor the outcomes and program effectiveness, collect data, and complete program reports.
  • Notify contract monitor of any subcontractor reporting issues as they arise.
  • Coordinate participant view survey mailings and compile responses within database.
  • Review database system on a quarterly basis and merge duplicate records.
  • Review database for errors on a quarterly basis and make corrections as needed.
  • Compile and report on consumers served, units delivered and outcomes achieved on a quarterly basis.
  • Answer, screen, and direct incoming calls as needed.
  • Greet and assist visitors, subcontractors, volunteers, and members of the public in an effective, enthusiastic and courteous manner.
  • Gather, organize and maintain both paper and electronically stored data.
  • Perform other related work duties as assigned.

Position involves working in an office setting. Occasional (10-33%) standing, pushing, pulling and grasping. Frequent (34-66%) reaching and viewing a computer and other types of close visual work.  Constant (67-100%) sitting, walking, repetitive motion, talking and hearing. 

  • Associates Degree in a related field and a minimum of two years of experience.


  • Must have a valid driver’s license for required travel.


  • Knowledge of working with a database and data entry skills.
  • Experience in a non-profit setting.
