  • Provides administrative support to the Associate Administrator or Director of Teaching and Learning. Initiates/coordinates projects and performs tasks that enable the Director(s) to devote maximum attention to the goals and objectives of the Agency. Qualifications:
  • High school graduate.
  • Three years of administrative support experience or five years of secretarial experience.
  • Working knowledge of Windows-based software.

Essential Functions:

  • Provides support under the general direction of the Director(s) which involves identifying needs, initiating and coordinating projects, providing follow-up, and setting priorities and procedures for accomplishing the work.
  • Performs the full scope of word processing and computer applications, including correspondence, documents, reports, calendars, and electronic mail.
  • Maintains and coordinates Director’s schedule, handles logistics of meetings, and assists with travel arrangements.
  • Responds to inquiries from internal and external sources with appropriate attention to confidentiality; uses discretion in the communication of sensitive information or forwards inquiries and/or concerns to appropriate person; drafts responses as directed or under own signature; provides follow-up as needed.
  • Maintains open, supportive communication and relationships with Agency staff, LEA administrators, teachers, and parents.
  • Establishes and maintains the regular and confidential record and report filing system.
  • Processes administrative records including, but not limited to, personnel actions, purchase orders and leave requests, using discretion as to signing the same.

Additional Responsibilities:

  • Participates in projects, committees, or activities to support the mission of the department, unit, and Agency.
  • Participates in staff development and professional growth activities.
  • Organizes and coordinates the collection of information needed for assigned projects.
  • Serves as a resource person by assisting in the research and compilation of various data.
  • Facilitates communication between Director(s) and staff, area educators, and external agencies.
  • Performs such other duties as may be assigned. Knowledge, Skills, and Abilities:
  • Ability to communicate effectively and maintain effective working relationships.
  • Ability to function effectively as a team member.
  • Ability to work independently and develop work systems with minimum supervision.
  • Ability to prioritize, organize, and problem-solve independently and with groups.
  • Good knowledge of general office practices and business English.
  • Ability to convey a positive and professional image to staff and the public.
  • Ability to process, categorize, and file information and forms in accordance with Agency procedures. 8. Proficiency in word processing, spreadsheets and databases.
  • Ability to handle information in a confidential manner.
  • Ability to read and interpret documents, write reports and correspondence, and apply appropriate mathematical concepts.

Physical Requirements:

  • Normal, routine levels of bending, carrying, lifting, climbing, reaching, sitting, standing, and walking.
  • Sufficient manual dexterity to be able to operate office equipment including, but not limited to, computers, fax machines, copy machines, typewriters, telephones. EOE/M-F
