University ID Card Programs is responsible for issuing photo identification credentials to the entire campus community and is a sub-department of Treasury Operations, which has overall responsibility for administering and overseeing University banking, cash management and investment services. This position will perform administrative support activities for the daily operations of the UI Health Care Badge Center. Additional duties include 3rd party invoicing and billing collection activities. Make decisions and exercise a high level of autonomy.

Operational Support and Management:
  • Issue UI Health Care ID badges and Iowa One cards to students, faculty, staff and affiliates within established policies and guidelines.
  • Maintain specialty hardware used in the production of photo identification credentials.
  • Assist with production and distribution of ID cards during orientation and related carding events.
  • Responsible for inventory of ID card production materials. 
  • Monitor departmental e-mail accounts and phone lines. 
  • Collaborate with departmental staff on the creation and maintenance of training documents; ensure instructions are clear, up to date and available.
  • Project-May assist with other department operational activities as needed. 
Human Resources:
  • May be responsible for Workflow related functions.
  • Assist with training, supervision, scheduling and evaluation of student employees and support staff; monitor compliance with FERPA, University policies and applicable regulations. 
  • Maintain effective working relationships with faculty, staff, students and general public; escalate personnel issues and concerns to supervisor.
Financial Responsibility:
  • Reconciliation of revenue and expenses on monthly statement of accounts.
  • With supervision, manage the invoicing and receivables component for a group of 3rd party sponsored students, assuring compliance with the award terms and sponsor, federal, and University policies and procedures.
  • Prepare monthly and quarterly invoices for departmental services related to University ID Card Programs.
  • With supervision, complete account reconciliations, resolve discrepancies when necessary.
  • Maintain invoicing information in an orderly and consistent manner; retain supporting documentation that is useful and necessary. 
  • Basic knowledge of practices and considerations for updating and/or validating charges within MAUI, GL, the Reconciliation database, and University Workflow systems.
  • Maintain compliance with University financial policies and processes.
Strategic Planning:
  • May assist with the implementation of departmental tactical and strategic initiatives.
Information Management:
  • Collect, maintain and analyze data related to the UI Health Care Badge Center and related activities. Reporting-
  • Compile and share special and periodic statistical reports as directed.
Communications Management:
  • Communicate with 3rd Party sponsors concerning various invoicing and billing issues.
  • Respond to in-person, phone and email inquiries, requests and complaints regarding issues related to ID cards and U-Bill accounts.
  • Monitor and follow up on delinquent accounts receivable; follow procedure to identify concerns and work with appropriate departmental or internal staff to resolve.
  • Coordinate efforts to collect internal past due balances using electronic communications.

Education Requirement
  • Bachelor’s degree in a business related major or an equivalent combination of education and experience. 
Experience Required
  • Minimum of six months administrative related or program experience including experience providing excellent customer service. 
  • Demonstrated excellent written and verbal communication and interpersonal skills. 
  • Demonstrated ability to meet deadlines, balance multiple priorities, and ensure a high level of accuracy in work produced.
  • Ability to apply logic and deductive reasoning to problems with varying levels of complexity.
  • Proficiency with computer software applications such as Microsoft Word, Excel and Outlook.
  • Ability to work with a diverse group of staff at all levels of an organization, demonstrated ability to collaborate effectively.
Desirable Qualifications
  • Working knowledge of relational database systems.
  • Some knowledge of University and UIHC systems, policies, procedures and regulations.
  • Experience using MAUI, ERMA, Workflow or other higher education administrative information systems. 
  • Demonstrated commitment to quality of work, operational excellence, and customer experience.
