ROLES AND RESPONSIBILITIES 
Administration of Roadways Programs and Events
Provide administrative support to Visioning programs, Living Roadway Trust Fund, and related projects, including:
  • Compile reports and minutes; 
  • Work with the finance team to submit invoices and documentation;
  • Coordinate roadways annual celebration with Roadways Team;
  • Coordinate the applications and review process;
  • Schedule steering committee meetings and conference calls as needed.
Board and Foundation Support
  • Provide administrative support to the Trees Forever Board and Foundation
  • Schedule meetings and send notifications of events;
  • Prepare board packets in collaboration with Strategic Council;
  • Assist with events that involve Board and Trustees.
  • Attend and take minutes at quarterly Board Meetings
  • Track board activity in SalesForce. 
CEO Support
  • Assist CEO in drafting general correspondence.
  • Review CEO email and telephone messages for important emails from board, sponsors and partners.
  • Schedule meetings and assist with CEO calendar as needed. 
  • Tracking of Grant Proposal Submissions and Awarded Proposals
  • Learn and support the SalesForce grant proposal and reports tracking system;
  • Pay close attention to both proposal and reporting deadlines, and send regular notifications.
General Support of Trees Forever Operations and Administration
  • Assist other team members from time to time as needed.
  • Process incoming checks and online gifts and assist with sales of merchandise.
  • Basic knowledge of office equipment. Support Trees Forever events as needed.
QUALIFICATIONS/REQUIREMENTS:
Prefer degree or five years of experience with background in Administration and executive support; Project management; Database administration.
Must possess a commitment to: 
  • Working for a non-profit organization. 
  • Engaging others in environmental stewardship. 
  • Working on a team—willing to take the lead as well as support others. 
  • Physically able to lift boxes and trees up to 50 lbs. and participate in outdoor projects. 
Must possess the following skills:
  • Technological skills including Microsoft Office, Adobe Acrobat Pro, SalesForce or other contact management and database systems. 
  • Proficient writing skills and the ability to proofread 
  • Attention to detail and ability to develop and deliver consistent processes.
  • Strong communication and organizational skills.
  • Interpersonal skills necessary to build effective relationships with staff members, board members, partners, volunteers, donors, and members. 
  • Strong leadership traits, such as ability to give/receive constructive feedback, critical thinking skills, and confidence in taking initiative. 
  • Residence in Linn County preferable or within 30 miles of Cedar Rapids/Marion. 
  • Must maintain reliable transportation and willingness to travel, including occasional overnight trips and some evening and weekend meetings.
