The Event and Engagement Specialist in Marketing and Communications Outreach and Engagement will oversee and implement strategies to engage multiple audiences through a variety of outreach and engagement initiatives—events, activities, and prospective opportunities—on behalf of University of Iowa Health Care. This position works closely with internal and external vendors to plan, coordinate, execute, and evaluate these signature initiatives and events. Proactively builds and maintains relationships with multiple constituencies, stakeholders, and the community. Responsibilities include developing and implementing processes surrounding signature initiatives and events including oversight in event communications and marketing, registration and data intake and analysis, event logistics and constituent relations. Supports UI Health Care in coordinating and executing other duties as assigned.

Position Responsibilities:
Program Development and Implementation: Provides event management and support of complex programs and initiatives such as educational programs, alumni recognition and engagement programs. Oversees planning, implementation, and evaluation of special events and other initiatives on behalf of UI Health Care in close collaboration with internal and external partners to meet identified objectives and goals. Activities and projects range from completing large enterprise initiatives to implementing private personal events.

Message Development and Implementation: Develop and implement event communications and marketing plans to achieve program success utilizing various communication channels.

Public Relations: Proactively builds and maintains relationships with various constituent groups, community organizations, event guests, volunteers and campus colleagues to encourage engagement and achieve program goals. Positively represent the University of behalf of the program, unit, department, or college.

Information Management: Oversee collection, analysis, and reporting of outreach and engagement data including: target audience lists, event registration, and engagement data. Ensure data accuracy and develop and distribute measurable impact reports. Recognizes patterns, trends, themes, and connections in information to develop innovative ideas and solutions.

Strategic Planning: Establish goals, develops and implements outreach and engagement strategies that align with institutional strategic priorities. Understands the current state and is able to visualize the ideal state and how to achieve it. Participates in development and measurement of personal and team goals and action plans.
Financial Responsibility: Maintains event budgets by minimizing expenses while maximizing impact. Assists in budget development and provide projections and recommendations for future program initiatives and event collateral.

Leadership/Supervision: Recruit, train, and manage student employee and assure students are compliant with UI policies and procedures. Anticipate the programming/project needs of the division and develop and manage the performance of student employees accordingly. Functional supervision of support staff.

Position Qualifications:
Education Required
  • Bachelor’s degree or an equivalent combination of education and experience.

Experience Requirements
  • Bachelor’s degree or an equivalent combination of education and experience.
  • 3-5 years relevant experience in event planning, event management, event marketing, communications, marketing, or public relations.  
  • Experience in planning, organizing, estimating, and executing events—including all logistics. 
  • Excellent written, verbal and interpersonal communications skills. 
    • Well-organized and detail-orientated.
    • Ability to multi-task and manage several projects at the same time.
    • Must be able to work atypical office hours with evening, weekend, and early morning events and setup requirements on a regular basis.
    • Adept at functioning in a highly computerized environment.  Proficient in computer software applications including MS Word, PowerPoint and Excel and various databases.
    • Ability to work independently, cooperatively with a team, and with a diverse population.
  • Must possess a valid driver’s license and meet/maintain standards of the Fleet Safety Program. 
Desirable Qualifications
  • Experience developing communication materials for events and campaigns.
  • Experience with collegiate academic and institutional advancement programs.
  • Ability to constructively express ideas, resolve conflict, and treat others with respect.
  • Take initiative and solve problems.
