Administrative Associate

University of Iowa Center for Advancement

The University of Iowa Center for Advancement (UICA) is seeking successful candidates to fill several administrative assistant and associate roles. Our administrative assistant and associate roles are responsible for providing support to designated staff in meeting the goals for their area(s) and the goal of the organization to engage alumni and friends and increase philanthropic support for the University of Iowa by serving as a liaison between designated staff and internal departments, UI departments/colleges, alumni, friends, and donors.
Key Responsibilities
  • Creates, updates and modifies prospect plans within database; provides reminders and follow up for advancement officers related to prospect plans; enters contact reports 
  • Plans campus visits for prospects, donors, and/or alumni; may provide recommendations to the advancement officer on potential prospects to see in a location
  • Executes unique custom stewardship items; coordinates programmatic stewardship items (e.g., college newsletters)
  • Creates detailed profile of meeting attendees; summarizes BGI information and other available information into a new profile document for the advancement officer's use
  • Creates meeting materials; may suggest items to address common conversations
  • Provides calendaring support
  • Creates procedures and shares best practices for internal processes
  • Answers complex questions from UICA colleagues, external constituencies and/or donors
  • Collaborates with advancement officer on invitation list, making recommendations based on information available; creates project plan in project software and provides work plan management; produces materials for events (invitations, promotional flyers, program booklets, etc.); provides logistical support at the event
  • Submits requests for information from data management; modifies existing queries or writes original queries; reviews information for accuracy and provides basic formatting
For assistant level: High school diploma and 3 years administrative experience -OR- associate’s degree and 1 year administrative experience -OR- bachelor’s degree.
For associate level: High school diploma and 6 years administrative experience, OR associate's degree and 4 years administrative experience, OR bachelor's degree and 2 years administrative experience.
