Position Summary:
The Administrative Services Coordinator supports the daily operations of Tippie’s Executive MBA (EMBA) and Executive Education Programs. This individual is responsible for planning and coordinating recruitment events, application processing, staff travel, and residency week activities. Duties include logistics, ordering food and supplies, arranging venues, communicating with students, processing payments, and other functions to support the EMBA and Exec Ed programs. Must be able to work occasional weekends and evenings.

Additionally, the person will work with faculty, staff, University departments, and outside vendors to provide ongoing program support such as ordering, assembling, and distributing course materials; assisting with required University compliance reporting; organizing and coordinating materials and documentation for the international seminar, graduation, and other events. Other duties include addressing student inquiries, departmental correspondence, and special projects as assigned.

QUALIFICATIONS
Required Qualifications
  • Bachelor’s degree or equivalent combination of education and experience
  • Typically 1-3 years’ experience in an administrative support role
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Working knowledge of computerized tools; databases, internet searches
  • Superior written and verbal communication skills. Ability to communicate effectively
  • Demonstrated experience in providing superior customer service
  • Demonstrated exceptional attention to detail, planning, and follow-up skills.
  • Ability to develop alternative solutions and solve problems
  • Demonstrated ability to interact positively with a diverse population
  • Valid driver’s license and ability to meet and maintain UI Fleet Safety driving requirements.
Desired Qualifications
  • Basic knowledge of University policies, procedures, and systems
  • Experience managing internal and external suppliers and partners
  • Event planning and/or management experience
  • Experience with Customer Relationship Management (CRM) systems, especially SalesForce
  • Working knowledge of social media platforms
  • Ability to perform simple website updates
