Type of Position: Specified Term. A staff member may be appointed to term status for a specific term not to exceed three years in order to accomplish a specific purpose or when the duration of funding is limited or unknown.

Position Summary:

Coordinate administrative operations for the UI REACH program in the College of Education. Provides support to director and administrators and coordinates office procedures, processes, and workflow. The Administrative Services Coordinator is the front line liaison from UI REACH to its constituents, including UI REACH students, staff, faculty, families, and the public.

UI REACH is a two-year certificate program for 18-25 year old students with intellectual disabilities. Students live in the residence hall, take courses on campus, and have internships in the community ().

Key Areas of Responsibilities:

Operational Support and Management:

  • Serve as office manager for the UI REACH     program. Provide support to the director, and administrators; monitor and     coordinate office activities and work. 
  • Evaluate and initiate requests for     services, supplies, equipment, maintenance, space, and renovation. 
  • Coordinate special programs, meetings,     and conferences by arranging details, taking minutes, preparing and     distributing materials.
  • Evaluate and prioritize requests and     exercise discretion and judgment in providing confidential information to     appropriate parties.

Human Resources (HR):

  • Responsible for workflow functions     related to procurement cards, trip creation for self and staff, Fleet     Services, HR appointments for faculty, staff and student employees. 
  • Complete I 9 forms and other onboarding     activities for new employees. 
  • May act as search assistant on staff     searches. 
  • Interviews, hires, trains, assign and     evaluate the work of student support staff.
  • Participate in the admissions process     including tracking applicant materials, scheduling interviews and tours,     and other duties as assigned by the director.

Financial Responsibility:

  • Maintain the UI REACH procurement card. 
  • Responsible for understanding policies     and procedures related to cash handling and to ensuring that these     policies and procedures are followed.

Information Management:

  • Develop and revise departmental     informational materials for distribution. 

Communications Management

  • Act as front line liaison with faculty,     staff, students, and public regarding inquiries and requests, requiring     discretion and independent judgment.
  • Responsible for reception area. Create a     welcoming environment by ensuring that visitors, students, faculty, staff,     families, etc. are assisted in a friendly and professional manner.
  • Compose correspondence requiring     accuracy, discretion, and judgment

Education or Equivalency Requirement

A Bachelor’s degree or an equivalent combination of education and experience is required.

Experience Required

  • Experience in an administrative support     role, office management or other related experience. Typical experience is     1- 3 years.
  • Establishing and building healthy and     collaborative working relationships and partnerships with colleagues     within and external to own unit.
  • Responding quickly to changing     priorities and emerging situations while maintaining professionalism and     approachability
  • Proficiency in computer software     applications such as MS word, Excel, outlook calendar, power point, and/or     Publisher required List communication skills, including written, verbal     and presentation if applicable
  • Experience with and/or interest in     interacting with persons with disabilities.
  • Demonstrates excellent oral and written     communications skills; ability to effectively transmit, receive, and     interpret ideas, information, and needs through appropriate communication     methods and behaviors at a working proficiency level

Desirable Qualifications

  • Experience assisting persons with     disabilities in a secondary education setting or on a college campus, in     the workplace, and/or in the community List desirable qualifications
  • Supervisory experience in assigning work     and evaluating performance
