Office Coordinator and Assistant to the Vice President for Advancement

This position is responsible for supporting the day-to-day office operations of the Advancement office which include: coordination of communication, reporting and activities for several Advancement functions/units, administrative support for the VP of Advancement, scheduling and travel support for Development Officers, and coordination of campaign and special fundraising project activities.

Essential Job Responsibilities:
  • Act as a first contact and liaison for the Advancement Office, answering phones, greeting guests, providing responses and answers to questions on the behalf of the department to colleagues, students, parents and friends of the college, and providing back up for the Alumni and Coe Fund administrative support positions.
  • Assist the VP of Advancement in handling the day-to-day office operations including scheduling, making travel arrangements and correspondence.
  • Draft and coordinate communication from and within the department, and preparing emails, letters, and reports for Development Officers and VP.
  • Coordinate and support travel arrangements for VP and Development Officers.
  • Prepare monthly budget reports, prepare and process purchase orders, maintain filing system and submit monthly time sheets for departmental staff.
  • Provide support to Advancement staff to ensure the success of any dedicated fundraising campaign, including oversight of communication activities (web updates, media acknowledgements, and letters/emails), maintaining campaign budget, coordinating campaign events, and maintenance of timeline and activities.
  • Attend and take minutes for Board of Trustees’ Advancement and Trusteeship Committees.
Qualifications
  • Bachelor’s degree or equivalent combination of education and experience.
  • 3-5 years of administrative support, preferably support of multiple positions and/or office management.
  • Successful completion of a background check in accordance with Coe College policy.
Knowledge, Skills and Competencies:
Position Specific:
  • Computer proficiency in Microsoft Office Suite required. Demonstrated capacity to learn and work within database and CRM systems preferred.
  • Excellent verbal and written communication skills.
  • Exceptional organizational skills, including the ability to use critical thinking to create efficiency and anticipate needs of the department.
  • Ability to autonomously manage multiple priorities and changes in workflow. Task and detailed oriented.
