The University of Iowa, College of Public Health, Department of Health Management and Policy is seeking to fill a Coordinator of Student Services and Academic Support/Program Management Associate toprovide coordination and support for the academic and professional graduate programs in the Department of Health Management and Policy. Contribute to the success of the department’s programs by providing administrative services through the coordination and support of operations such as teaching support and resources, recruitment, admissions and enrollment management, and student services.

This person will:
  • Prepare data for reports to University and outside agencies.
  • Support primary and adjunct instructors assigned to program through answering questions, assisting with technical issues, and serving as the support person for the program.
  • In coordination with the Director of Student Services, manage course scheduling and teaching activities.
  • Schedule room requests for program faculty and student meetings, classroom activities.
  • Assist with evaluation processes for course instruction, admissions, orientation, placement and program feedback.
  • Make travel arrangements, and prepare travel requests and reimbursements according to UI policy program faculty and students.
  • Use WebAdmit system to review applications and communicate with prospective students throughout the application and admission process.
  • Use MAUI to allocate expenses to student UBills, submit student scholarships and tuition.
  • Prepare agenda and materials for relevant department meetings.
  • Coordinate internal and external meetings for the Director of Student Services and Faculty Program Directors.
  • Assist faculty with ICON/Canvas, iFolio.
  • Research, compile and prepare documents for Program Directors.
  • Coordinate meetings for quality improvement committees relevant to the MHA, MPH, MS and PhD programs
  • Initiate purchases for academic supplies and equipment, including textbooks, using departmental pcard.
  • Submit documentation and justification to Shared Services for reconciling pcard and travel reimbursements.
  • Assist with planning and implementation of on/off campus HMP recruitment activities.
  • Provide suggestions for improvements to systems and processes.
  • Assist with development of program marketing materials.
  • Communicate with applicants and prospective students throughout the application and admission process.
  • Compliance with policies, regulations, and laws and operational oversight.
  • Research and gather information from various sources, such as departments, vendors, and University websites to assist in making decisions and in responding to departmental daily requests.
  • Assist with Student Services website updates and submit information to the Social Media Committee for appropriate posting.
  • Prepare correspondence. Review, proofread and edit department documents.
  • Monitor and update HMP social media platforms.
  • Communicates professionally, concisely, and accurately both verbally and in writing, requiring judgment in the application of policies and procedures in both the assigned and related work areas.
  • Contributes in a positive and respectful manner with team members on daily work/and or other department and campus staff on special projects. Participate in departmental, or campus-wide meetings.
  • Maintain effective working relationships with faculty, staff, students and the public. Interact with a variety of individuals including prospective students, students, alumni, hospital executives, physicians

Education Requirement
  • Requires a bachelor’s degree in related field or equivalent combination of education and experience.

Experience Required
  • At least 6 months of professional business office experience.
  • Experience with academic program support and student services in a higher education environment.
  • Excellent written and oral communication skills.
  • At least 6 months experience working with procurement policies.
  • Working experience with spreadsheet, word processing and presentation software.
  • Ability to travel for program-sponsored events. Must meet UI fleet safety standards.

Desirable Qualifications
  • Admissions, marketing, social media, or recruitment experience.
  • Knowledge of University policies, procedures and regulations.
  • Experience with MAUI, Excel and Centralized Application Systems (CAS).
  • Experience with UI workflow, Protrav, and E-Pro.
