Must be proficient with QuickBooks, Excel, and Word; must have very good interpersonal skills. Applicant will need to learn and become proficient with our internal software (NTAS) National Training Administration Software.

Schedule:  Full-time- 40 hours per week.

Job Description:
This individual must have good interpersonal skills. They will interact with the general public, with personnel from electrical contractors, with apprentice electricians and Journeymen electricians, and with the training center director and instructors.
Although not inclusive, listed below are typical duties performed by the Administrative Assistant:
  • Daily:
    • Communicate with applicants and general public via email and telephone.
    • Communicate with program apprentices and Journeymen electricians.
    • Communicate with Training Director and instructors.
    • Process paperwork from applicants and correspond appropriately. 
    • Receive mail and packages; respond appropriately.
    • Maintain front office in neat and orderly manner.
  • Weekly:
    • Enter all received invoices into QuickBooks.
    • Review classroom attendance sheets and record in NTAS software.
    • Record any apprentice reports as necessary; homework, tests, absences, etc.
    • Originate and send any necessary communication to apprentices and Journeymen.
    • Update tracking spreadsheets as necessary.
    • Meet with Training Director regarding training center schedule, events, calendar, etc.
  • Monthly:
    • Upload and verify all apprentice on-the-job training hours.
    • Verify any apprentice advancements, and then send notices to apprentices, contractors, the IBEW 405 office, and Auxiant.
    • Prepare apprentice evaluation forms for distribution.
    • Send correspondence to all applicants scheduled for interviews. Prepare all required applicant documentation for the interview committee. Record all interview scores in NTAS.
    • Post continuing education (CEU) classes on website for Journeyman courses. Prepare CEU class rosters and completion certificates. Upload CEU class participants to the State of Iowa Electrical Examining Board portal.
    • Prepare necessary documentation for monthly trustee meetings; pay invoices queued up in QuickBooks and have checks ready for trustee signatures.
    • Mail all paid bills to vendors.
  • Annually
    • Prepare QuickBooks records for annual audit. Gather necessary records for annual audit.
    • Prepare new apprentice folders; register new apprentices with the Dept. of Labor (DOL).
    • Request graduating apprentice completion certificates from the DOL and the Electrical Training Alliance (ETA).
    • Assist with graduation banquet arrangements.
    • Scan craft certification records to the ETA.
