Sinclair Tractor is seeking an experienced, polished, highly motivated, and very detail oriented individual to join the company as an Executive Assistant to the CEO to provide administrative support in a well-organized and timely manner with the primary responsibility of conserving the President’s time, enabling him to focus on business development and high-level management issues; providing liaison between the president, key executives and employees by delivering excellent service and exceeding expectations.

The desired candidate must be self-motivated with the ability to work independently and anticipate needs.This position requires a very bright and articulate person who can multitask, take initiative and be a self-starter. Must be able to work under pressure and handle a wide variety of activities and confidential matters with discretion.

In this role, the Executive Assistant will provide comprehensive administrative support including agendas, meeting materials, preparation of correspondence, and reports. They will help with calendaring, call and email management, travel planning, meeting planning, and special projects.

The Executive Assistant will anticipate needs, clear obstacles, and identify opportunities to take ownership of tasks and projects. They are expected to take initiative, proactively ask questions, execute core responsibilities collaboratively, and actively listen. Must maintain professionalism, show flexibility, handle multiple tasks and changing priorities, be customer service oriented, have a strong attention to detail, and remain composed under pressure of deadlines.

  • Supports the various office locations as needed and provides direct administrative assistant support to the CEO.
  • Review and prioritize CEO’s calendar, schedule business appointments, travel and event planning.
  • Anticipate, prepare, compile and independently initiate materials for meetings and perform follow up as needed.
  • Assist CEO in preparing notes and action items for meetings and location visits.
  • Meeting organizational skills – creating agendas, taking notes, communicating action assignments.
  • Maintain confidentiality when attending meetings.
  • Manage CEO’s email.  
  • Assist with marketing and promotional events
  • Make suggestions to systematize and improve office functioning to support the growth of the company
  • Anticipate President’s needs and handle them proactively.
  • At least 5 years of Executive Assistant experience required 
  • Advanced technical and software skills (Microsoft Office: Word, Excel, Outlook; Adobe Acrobat, CRM System, etc.)  
  • Extremely entrepreneurial and resourceful - can problem solve out of any situation
  • Strong analytical and organizational skills; Systems-Oriented
  • Experienced at multitasking and juggling varying responsibilities in a fast-paced environment
  • Exceptional written and oral communication skills
  • Ability to work independently and exercise excellent judgment in order to reflect the CEO’s values
  • High level of attention to detail, especially under pressure
  • Ability to manage deadlines independently
  • Ability to maintain confidentiality when preparing and processing transaction paperwork

  • Salary range depending on experience – room for growth and opportunity
  • Monday – Friday – 40 hours a week 
Location varies from the Williamsburg office, working from home and other company locations.
