JOB DESCRIPTION:  RECEPTIONIST                                       (full-time)
DEPARTMENT: Property Management and Administration
REPORTS TO:    Property Manager and Vice President of Marketing, Growth and Development.
PURPOSE:   The purpose of the Receptionist position is to assist all departments,                                    including property development, property management and accounting, with office functions.  These functions include answering multiple phone lines, mailings, filing, ensuring office supplies are available, and assisting customers on a daily basis.  A teamwork atmosphere is essential.
JOB RESPONSIBILITIES:
Assist managers and co-workers with the day-to-day office requirements.
Be aware and knowledgeable of all areas of the company to assist customers when staff          are unavailable.
Assist the property management department with a variety of duties including mailings, answering questions about rental units to current or potential renters, and during peak           times working extended hours as needed.
Assist the property management department with sending maintenance reports/work orders, contact tenants for showings if needed, schedule appointments, and other duties as assigned.
Collect and receive payments in person and over the phone.
Receive multi-phone line telephone, voice-mail, and fax transmissions, screen and direct     calls and faxes to the appropriate personnel in a timely and polite manner.
Check general voice mail box on a daily basis.  Take messages and direct to appropriate           personnel.
Opens and sorts incoming mail and distributes to the appropriate personnel.
Ensures the office has the needed supplies.
Delivers and picks up various documents as needed.  Errands as needed.
Utilize and maintain different types of office equipment and computer software.
All other related duties as assigned.

Ability to be well organized, detail-oriented and prioritize well.
Be courteous and provide a good first impression to customers.
Must have great listening skills, good oral and written communication skills.
Ability to multi-task on a continuous basis.
Exhibit a good work ethic and good work skills.  Professionalism is a must.
Ability to work daily and extended hours as needed.
Ability to be flexible and patient in a wide variety of situations.
Ability to learn different office software and equipment.
Must be a team player.
Available 8am-5pm Monday-Friday
EDUCATION and EXPERIENCE:
Minimum high school diploma or GED.
Minimum one year experience as an office receptionist/office environment preferred.
Should demonstrate a moderate level of computer knowledge skills, including MS Word,       MS Excel and Outlook.
