Position Overview
The Stanley Foundation is looking for an organized, efficient, and detail-oriented administrative specialist to join its Policy Programming Department. This full-time position provides direct administrative support to the vice president/director of policy programming strategy, and additionally supports the policy programming team consisting of four program officers and four program associates who are collectively responsible for conceptualizing and implementing the foundation’s policy and media programming. The foundation’s policy and media programming focuses on three global peace and security threats: climate change, nuclear weapons, and mass violence and atrocities.

Key Responsibilities
  • Administrative Projects and Tasks: Supports the vice president/director and the department by completing a variety of projects and tasks. This may include preparing itineraries, booking accommodations, and handling other travel-related preparations for team members; preparing expense reports and check requests for processing; creating, updating, and finalizing reports, memos, and correspondence; basic Web research; and other day-to-day support functions.
  • Programming Support: Supports the vice president/director and the department by assisting with tasks and processes related to policy and media programming. This may include tracking proposals for programming activity as they move through internal process, scheduling programming and other group meetings, scheduling conference calls with outside collaborators and partners, adding programming events to the calendar on the foundation’s Web site, drafting and generating reports from post-convening assessment surveys, and proofreading and offering edits to draft documents.
  • General: Supports the vice president/director and the department with other duties as assigned.
Qualifications
  • A bachelor’s degree and a minimum of two years of administrative experience in a professional environment or equivalent combination of education and experience.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, Power Point, Office 365) and Adobe Acrobat.
  • Expert organizational and prioritization skills with demonstrated high attention to detail; proven ability to handle multiple activities and consistently meet deadlines.
  • Strong communication and interpersonal skills, with demonstrated ability to convey written and spoken information in a clear, concise, professional, and collaborative manner.
  • Experience proofreading and offering edits to material written by others.

The administrative specialist works under the direction of and reports to the vice president/director of policy programming strategy. Applicants must be legally authorized to work in the United States. The Stanley Foundation offers competitive salaries and a full benefits package.
