Job Information:

Provide administrative and financial/budgeting support to the University of Iowa Health Care Marketing and Communications department. Key areas of responsibility include operations, human resources, finance and strategic planning.
Operational Support & Management
  • Compose and manage related communications requiring a high level of confidentiality, attention to detail, excellent organizational skills and effective written, verbal and interpersonal communication skills
  • Coordinate general IT/computer software purchasing and installation and troubleshoot IT -related issues
  • Serve as a member of the Marketing and Communications department administrative support team and provide backup coverage to other members during absences. Manage and assist with the implementation of departmental strategic plans to completion
  • Backup to manage calendars, schedule meetings and conference rooms
  • Back-up contact to answer phones and triage calls for StratCom and Marketing departments
  • Backup order and maintain office supplies
  • Backup to maintain Bizhub
  • Track, place and deliver materials as needed
  • Support changes in policy and procedure
  • Maintain effective working relationships
Financial Responsibility
  • Develop monthly reports to highlight budgetary needs or discrepancies for Marketing, StratCom and Creative Services
  • Maintain knowledge and  understanding  for MarCom to meet divisional fiscal year budgets
  • Analyze financial data and information and develop reports to highlight budgetary needs or discrepancies. Prepare monthly budget reports and monthly balance sheet for distribution to department leadership
  • Assist with annual departmental budget submission
  • Monitor, track and reconcile expenditures, including POs, Purchasing Card, Professional Services Agreements (PSA),  internal requisitions, travel expense vouchers, and office supplies
  • Backup for internal requisitions, travel expenses, vouchers and office supplies
  • Place external requisitions for MarCom
Human Resources
  • Provide secondary onboarding support to new employees
  • May initiate or approve routing of HR transactions
  • Backup ELMS controller
Strategic Planning
  • Assist in the coordination/preparation of strategic plans in support of the department
