Gifts and Records Assistant

Job Information:

Cornell College invites applications for a part-time gifts and records assistant within the Division of Alumni and College Advancement. This position is responsible for the integral areas of gift processing as it pertains to the fundraising goals of the division, to include:

  • entering into database and reporting of all gifts and pledges received, and assuring accuracy and integrity through regular audits;
  • reconciling donations received and performing timely transfers of funds to appropriate accounts;
  • creating new donor records within the division's database;
  • working closely with Business Services in regards to processes that affect both areas;
  • assisting with constituent information updates, general record keeping updates, and other data assignments given as needed;
  • completing documentation associated with matching gifts;
  • assisting with distributing weekly reports and monthly pledge reminders;
  • suggesting modifications to the donor processing workflow;
  • developing and maintaining all training and internal procedure manuals for donor processing;
  • assisting with securing and organizing legal donor intent documents per audit requirements.

Qualifications: High school diploma required, bachelor's degree preferred. One or more years of office experience or equivalent required, preferably in higher education. One or more years of fundraising software experience preferred but not required. Successful candidates should be highly detail oriented with a critical degree of accuracy, possess good interpersonal and organizational skills including the ability to take responsibility and work well as a team member, have the ability to prioritize and perform multiple tasks simultaneously under minimal supervision, be capable of working independently within the scope of normal duties while adhering to deadline-oriented projects, be able to demonstrate good analytical and problem-solving skills, have a familiarity in the management of a large biographical and financial database, have an understanding of bookkeeping and office practices, and possess the ability to work with large sums of money and maintain confidentiality.
