Job Information: Assists CFO and performs administrative duties for Finance Department staff. Maintains a general knowledge of Finance and Foundation procedures, and systems.
1.Assists in preparation of UIF Board, Audit, and Finance committee materials and presentations, including preparation of agendas, minutes and posting materials to the UIF Board website
2.Assists with annual audit by scheduling meetings; securing rooms, keys, and parking permits for auditors, and preparing confirmation letters. Oversees delivery of the final audited statements to the University of Iowa and UIF financial institutions, and facilitates posting of audit and Form 990 to the UIF public website.
3.Prepares and distributes annual online Conflict of Interest survey to members of the UIF, ILSF, ISF, and SUIFSO boards. Processes responses and prepares reports for board chairs.
4.Maintains on-line calendars, and schedules recurring meetings including touch base meetings, performance evaluations, Finance staff meetings, GADICC meetings, and other meetings as requested. Prepares and distributes agendas and meeting materials as needed.
5.Emails investment management proposals and confirmations to Investment Committee as requested.
6.Schedules teleconferences for board committee review of UIF and ILSF tax documents and posts final copies for full board review.
7.Creates detailed monthly and quarterly expense reimbursement requests to UI Alumni Association, and campus constituencies for services rendered.
8.Prepare and send premium payment reminders to donors of life insurance policies. Request cash surrender values annually for audit reporting.
9.Analyze and prepare acknowledgment letters on behalf of the UI Business Office for gifts made directly to the University of Iowa. Retains University gift source documents.
10.Maintains control of department credit card and is responsible for payments for memberships, professional licenses, conference registrations, and travel arrangements as needed. Performs reconciliation of monthly statement.
11.Responsible for the distribution of petty cash to UIF staff. Maintains log and receipt file. Replenishes cash as needed. Performs reconciliation for review by Accounts Payable.
12.Composes and drafts complex correspondence to donors and campus clients as needed.
13.Responds to requests from vendors and matching gift companies for W9s and other UIF documentation.
14.Sorts and routes general finance department mail and mail for Chief Investment Officer.
15.Provides back up assistance for assistant to the COO.
Qualifications: High school diploma required. Two years post-secondary or equivalent combination of education and experience. Three to five years administrative or communications-related experience in an accounting or finance department preferred. Proficient with Microsoft office applications with advanced skills in Word and PowerPoint, and intermediate skills in Excel. Strong interpersonal and communication skills, time-management and organizational skills, and careful attention to detail.
