Department Administrative Specialist

The primary administrative support (Department Administrative Specialist) position for the Department of Pediatric Dentistry provides daily management of the Department including actively providing leadership, consultant, resource and departmental authority on departmental fiscal administration and Human Resource policies, processes, programs, and transactions; support a humane and supportive work environment consistent with the University mission and core values; and provide advice and guidance to faculty in educational and research activities.
•Bachelor’s degree in Business Administration or related field, or an equivalent combination of related education and relevant experience.
•1-3 years related administrative experience, which includes the following skillsets:
o OFFICE ADMINISTRATION – Extensive Experience
Ability to carry out ongoing office administration tasks effectively and efficiently in support of individuals, teams, and/or units.
o OPERATIONAL FUNCTIONS – Working Experience
Knowledge of major functional processes and associated operating requirements; ability to apply this knowledge appropriately to diverse situations.
o DESKTOP TOOLS – Working Experience
Knowledge of and ability to use office support tools available on the desktop (e.g., word processing, e-mail, presentation software and spreadsheets).
o Communicating for Effective Relationships
Knowledge and application of the communication techniques and relationship building skills that develop the ability to work with a variety of individuals and groups in a constructive and collaborative manner.
•ACADEMIC SUPPORT SYSTEM ADMINISTRATION – Working Experience
Knowledge of the operation and application of computer-based academic support systems; ability to coordinate and support academic activities through an academic support system.
•HUMAN RESOURCES POLICIES, STRATEGIES AND ENVIRONMENT – Working Experience
Knowledge of major responsibilities, accountabilities, and organization of the Human Resources (HR) function or department; ability to use and effectively administrate the organization's HR policies, strategies and environment.
•Some (6 months – 1 year) supervisory experience
•Considerable (1-3 years) working knowledge/experience with UI policies, procedures and regulation including knowledge of:
o Electronic transmission systems (such as HR, Purchasing, PCard, Accounts Payable, ProTrav, and E-Pro.)
o Human Resources policy and procedure including functional/ administrative supervision of staff, HRIS, payroll, Vac/SL, performance evaluation and performance management, progressive discipline, and considerable experience with FMLA/ADA case management.
o Experience with UIHC resident support including GME and MedHub management system.
•BUDGETING – Working Experience
Knowledge of, and ability to apply, policies and practices for planning and administering a budget.
2.Dentistry’s Oral Health Information System, AxiUm or related software
3.Dentistry clinic policies/procedures
4.Knowledge of dental terminology, procedures, materials, etc.
•Excellent organizational skills and ability to multitask.
